What is onboarding?

Onboarding is a key process of integrating new employees into the organisation, thereby enhancing both their professional, social, cultural and organisational integration. As a result, employees feel welcomed as part of the organisation and better prepared for the tasks ahead of them. The sooner the new employee feels welcome and fully informed, the better and quicker they will be able to contribute to the organisation successfully.

Onboarding procedures are common in the private sector but often absent in academic institutions. In particular for newly hired Early Career Researchers (ECR), namely PhD candidates, such procedures will strongly impact both their integration into the organisation and clarification of roles and responsibilities of all stakeholders involved in their programme. In order to maximize their impact, it is therefore important that onboarding procedures are approved and supported by supervisors and Postgraduate offices. While it has been shown that successful onboarding contributes to increased well-being and motivation, many ECRs often feel somewhat lost and poorly supported when entering academia, leading to doubt, insecurity and sometimes even an early abandonment of their research project.

UCT and onboarding

In collaboration with the PRIDE network (Professionals in Doctoral Education), a working group was formed with the aim of drafting a publication on onboarding, focusing for the first time on doctoral candidates and postdocs and their adaptation process at the university.

UCT Prague initially launched an extensive questionnaire to assess awareness of onboarding, whether and how many people have encountered it, and what they would welcome within the academic environment. After evaluating the questionnaire, meetings were held in the private sector with HR professionals. We wanted to verify how onboarding is conducted in private companies and how we can leverage their know-how and experiences in our context.

The collected materials and interviews with HR professionals were used to create an adaptation plan, which was piloted from September 2023 at three institutes of  UCT Prague. The resulting adaptation plan, which is part of this page, will serve the needs of UCT Prague supervisors who work with newly hired doctoral candidates. Furthermore, the adaptation plan will be utilized for the PRIDE network publication, serving as a foundation for other European universities.

What is a “Double-Degree” programme?

It is doctoral study programme that is leading to two diplomas from both home university as well as partner university. Student works on one dissertation, the study programmes are fully integrated between collaborating universities and include specialized courses at home university and one interdisciplinary at partner university. 

Each successful applicant signs individual contract about doctoral double degree based on his/her particular situation (research area, supervisor’s requirements, home university requirements etc.). The contract is signed between UCT Prague and student’s home university.

Requirements for doctoral double degree contract:

  • Student has to agree with two supervisors – one from the home university, one from UCT Prague
  • Student has to be accepted by his/her supervisor to PhD studies at UCT Prague
  • Student has to be accepted to PhD studies at his/her home university
  • UCT Prague and student’s home university have to have a joint double degree study programme (list of offered programmes below)

What are the advantages?

Besides improved employability of graduates, there is emphasis on research activity coupled with a possibility to lead small research groups. The program inherently strengthens professional language knowledge. There are possibilities to gain practical skills thanks to cooperation with partner companies such as Zentiva, Zeva, Contipro, Lonza Biotec or in practically oriented departments of Czech Academy of Sciences, where are practical traineeships available. Last but not least there is excellent support of students, including motivational scholarships.

Application Materials for Applicants Applying to UCT Prague

There is an online application. All application documents shall be scanned to PDF separately and each document shall be properly named in the format: Surname_name-of-the-attachment.

  1. Choose a Dissertation Thesis topic
  2. Create and fill out an application in the Online Application System (OAS)
  3. Upload to OAS as an attachment (in PDF) the supervisor's confirmation that you can work on the Dissertation Thesis (communicate with the supervisor by e-mail and transfer that email to PDF); it must include: 1) the supervisor's approval, 2) your name, 3) the topic of the dissertation thesis and 4) the supervisor's department
  4. Upload the Medical Assessment Form⇓ confirming your fitness to study at UCT (Use the UCT Form)
  5. Upload the documents listed below:
    1.  Curriculum vitae (including a list of published works, other results of professional activity, and previous experience)
    2. Diploma and diploma supplement
    3. Certificate of English Language Knowledge of at least the level B2 or higher according to requirements of a partner university

      Non-native speakers are required to prove the language competence of B2+ according to the Common European Framework of Reference for Languages.

      1. Cambridge ESOL: minimum FCE,
      2. TOEFL iBT: minimum score 80,
      3. IELTS: minimum band score 5.5, 
      4. Duolingo English Test: minimum score B2 (90)

      Other Acceptable Formats:

The doctoral study under the dual supervision of the dissertation thesis (known under the French name of co-tutelle) takes place based on an agreement between the University of Chemistry and Technology in Prague and a partner university abroad.

Within this study, doctoral students have the opportunity to write one dissertation thesis under the guidance of supervisors from both universities and obtain diplomas from both institutions. The research is carried out under joint supervision - one supervisor from each participating institution - and doctoral students always spend part of their doctoral studies at both institutions.

This cooperation significantly contributes to the deepening of doctoral studies internationalization and, in the long run, supports the incorporation of science and research into the international environment. Upon graduation, students receive two diplomas recognized by both cooperating universities.

Unlike the Double Degree program, where doctoral candidates need to decide beforehand and then pass through the admission process, students can opt for Co-tutelle during their studies.

 

Conditions for concluding a Co-tutelle contract

  1. students must be admitted to full-time doctoral studies at the University of Chemistry and Technology in Prague;
  2. students must discuss the possibility of conducting a doctoral study within the "cotutelle" program with their supervisor at the UCT Prague and contact their future supervisor at the partner university;
  3. students must be simultaneously enrolled at a partner university. The partner university may demand undergoing an entrance exam of this institution from the candidate;
  4. The following must be concluded with the partner university:
    1. Interinstitutional Agreement (MoU)
    2. Double-supervision doctorate agreement

Interinstitutional Agreement (MoU) and the double-supervision doctorate agreement which must be submitted to the International Relations Department for review and approval.

Available PhD topics – cotutelle/dual supervision

The dissertation usually enters the cotutelle mode during the doctoral studies. However, there are some theses that already at the moment of listing expect implementation under dual supervision/cotutelle. They are thus very similar to a double degree. The reason for the existence of such cotutelles is a looser formal organisation of cooperation between universities (topics are listed only once, not every year repeatedly).

Shear stress in mixed dispersions - experimental and numerical study to design fermenters better - Cotutelle with TU Berlin

Annotation

In fermentation technologies, mechanically agitated aerated vessels are frequently used. In cases of aerobic fermentations, the Oxygen Uptake Rate - OUR is frequently used as the important design parameter. This means that the gas-liquid mass transfer controlled process is considered and the volumetric mass transfer coefficient - kLa is taken as the most important parameter. The practice shows, however, that the impellers with lower Power number (which means lower turbulence intensity and lower kLa) often ensure higher bioprocess efficiency than those with high Power number (which means higher turbulence intensity and higher kLa). The explanation is brought by the fact that microorganisms/biomass might be damaged by the high turbulence intensity as explained further. The turbulence intensity is proportional to shear stresses occuring in the mechanically agitated fermentation batch. A high shear stress may "cut" the microorganisms, which stop producing their primary product then. The aim of the PhD thesis is to measure the quantities proportional to shear stress values at the process conditions of aerobic fermentations and couple them with the kLa values, which are already at disposal in the Mass Transfer Lab database at UCT Prague. This data coupling will enable to develope the highly efficient industrial fermenters design tool.

Gas - Liquid Mass Transfer. Experimental comparison of various apparatuses performance - Cotutelle with UNIPA

Annotation

The volumetric mass transfer coefficient (kLa) plays a crucial role in industrial design in the case of the process controlled by gas–liquid mass transfer. Prediction of kLa is nowadays mostly based on literature correlations. Our research goal is to establish suitable kLa correlations for different types of devices that would be based on the experimental dataset. The PhD thesis aim at the comparison of various gas-liquid contactor types from the viewpoint of their mass transfer efficiency. The suitable correlations will be developed that would be viable for mechanically agitated gas–liquid contactors and also for pneumatically agitated gas–liquid contactors such as airlift reactor.
