What is onboarding?

Onboarding is a key process of integrating new employees into the organisation, thereby enhancing both their professional, social, cultural and organisational integration. As a result, employees feel welcomed as part of the organisation and better prepared for the tasks ahead of them. The sooner the new employee feels welcome and fully informed, the better and quicker they will be able to contribute to the organisation successfully.

Onboarding procedures are common in the private sector but often absent in academic institutions. In particular for newly hired Early Career Researchers (ECR), namely PhD candidates, such procedures will strongly impact both their integration into the organisation and clarification of roles and responsibilities of all stakeholders involved in their programme. In order to maximize their impact, it is therefore important that onboarding procedures are approved and supported by supervisors and Postgraduate offices. While it has been shown that successful onboarding contributes to increased well-being and motivation, many ECRs often feel somewhat lost and poorly supported when entering academia, leading to doubt, insecurity and sometimes even an early abandonment of their research project.

UCT and onboarding

In collaboration with the PRIDE network (Professionals in Doctoral Education), a working group was formed with the aim of drafting a publication on onboarding, focusing for the first time on doctoral candidates and postdocs and their adaptation process at the university.

UCT Prague initially launched an extensive questionnaire to assess awareness of onboarding, whether and how many people have encountered it, and what they would welcome within the academic environment. After evaluating the questionnaire, meetings were held in the private sector with HR professionals. We wanted to verify how onboarding is conducted in private companies and how we can leverage their know-how and experiences in our context.

The collected materials and interviews with HR professionals were used to create an adaptation plan, which was piloted from September 2023 at three institutes of  UCT Prague. The resulting adaptation plan, which is part of this page, will serve the needs of UCT Prague supervisors who work with newly hired doctoral candidates. Furthermore, the adaptation plan will be utilized for the PRIDE network publication, serving as a foundation for other European universities.

UCT Prague cooperates with partner universities in Europe on joint doctoral study programmes.

What is a “Double-Degree” programme?

It is doctoral study programme that is leading to two diplomas from both home university as well as partner university. Student works on one dissertation, the study programmes are fully integrated between collaborating universities and include specialized courses at home university and one interdisciplinary at partner university. 

Each successful applicant signs individual contract about doctoral double degree based on his/her particular situation (research area, supervisor’s requirements, home university requirements etc.). The contract is signed between UCT Prague and student’s home university.

Requirements for doctoral double degree contract:

  • Student has to agree with two supervisors – one from the home university, one from UCT Prague
  • Student has to be accepted by his/her supervisor to PhD studies at UCT Prague
  • Student has to be accepted to PhD studies at his/her home university
  • UCT Prague and student’s home university have to have a joint double degree study programme (list of offered programmes below)

Finances

In terms of cooperation with partner universities no tuition is required. Students are expected to cover any additional costs themselves.

What are the advantages?

Besides improved employability of graduates, there is emphasis on research activity coupled with a possibility to lead small research groups. The program inherently strengthens professional language knowledge. There are possibilities to gain practical skills thanks to cooperation with partner companies such as Zentiva, Zeva, Contipro, Lonza Biotec or in practically oriented departments of Czech Academy of Sciences, where are practical traineeships available. Last but not least there is excellent support of students, including motivational scholarships.

The next round of Data Stewardship will be in the autumn of 2024.

 

Main goals of this project

  1. a recommended transferable skills curriculum for PhD programmes
  2. facilitating business-education partnerships (a new course concept and material)
  3. an open access career-tracking survey

  • These outputs will be provided as Open Educational Resources through an online platform, the DocEnhance Platform. This platform will function as: a comprehensive, user-friendly and equal access point for transferable skills intelligence and training in research education and secondly a community and networking site with non-academic partners. It is designed to live beyond the project lifetime.
  • The course on Data stewardship has been developed by the UiT – The Arctic University of Norway in Tromsø renowned for its expertise in research data management. The course was first piloted at the University of Chemistry and Technology, Prague in May and June, 2021 and in the spring of 2022.

Three pilot courses on Transferable skills

 

UCT Prague and DocEnhance 

UCT Prague was in charge of WP2 Course concept and design and the implementation of Data Stewardship. The aim of WP2 was to optimize the course content and design. Rector of the UCT Prague, prof. Pavel Matějka, was responsible for two deliverables in WP2: Task 2.1 Develop a recommended curriculum for integration of transferable skills in PhD programmes and Task 2.2 Collect and index existing online courses in transferable skills. Both of those deliverables were submitted in June 2022.

 

Data Stewardship at UCT Prague

UCT Prague had a chance to pilot two rounds of Data Stewardship course in the spring of 2021 and 2022. The first round took place online due to the pandemic of covid 19. The number of 14 participants joint the Data Stewardship course. The next year more participants signed up into the course: 25.  After piloting the first loop of courses, feedbacks from all the participants, teachers and organisers were collected. All the electronic materials and supporting information were transferred to one united DocEnhance platform. Also, guidelines for teachers were made in detail.

  • The implementation of Data Stewardship into regular curriculum at UCT Prague
  • Offering this course also to other universities
  • Cooperation with the private sector
  • Using both deliverables and feedbacks for improving the course structures and doctoral study at UCT Prague

News - DocEnhance Data Stewardship course in 2023

  • The course starts with Module 1 (video lectures from March 1 to April 10, 2023) accessible for the enrolled participants through UCT Moodle. One week is sufficient for a participant to go through all the materials and readings.
  • Modules 2 & 3 will take place in person at UCT Prague. See the description of Module 2 and Module 3 at the end of this page.
  • The whole course will be in English.

 

Application

  • Application deadline: March 13, 2023
  • Enrolment confirmation will be sent out by the end of February, 2023
  • Online video lectures of Module 1 for enrolled participants will be available from March 3 to March 31, 2023.

Course description

As research data becomes more openly available in the context of Open Science, data stewardship is a skill in high demand, both within and beyond academia. In this course PhD candidates will undertake the study of data management with the attention of how to put into practice the theoretical and practical skills. Created by experts in the field, it focuses on deepening skills that are sought-after within both the academic and private sector. This brand-new course will walk PhD candidates through all the steps of research data management, from finding relevant data to publishing an own dataset.

Aims of this course

Course content

The Data Stewardship course is beneficial mostly for PhD candidates and consists of three parts:

  • Module 1 - (online lectures)
  • Module 2 - workshops and assignments in local working teams at UCT, Prague 
  • Module 3 - workshops and regional assignments 

Module 1 

Module 1 of the DocEnhance Data Stewardship course aims to give PhD candidates a general introduction to the basics of how to handle research data in a PhD thesis. PhD candidates are given the opportunity to watch videos and make assignments in the PhD Hub platform. After successfully completing this online part, you will receive a certificate.

Module 2

Module 2 is based on active learning from the participating PhD candidates. It aims to enable PhD candidates to better understand to how to put theory in practice.  The course is also geared towards giving PhD candidates the opportunity to improve their knowledge of data storage so that they can begin to work practically with planning, collecting, storing, processing and analysing data and the subsequent archiving, citing and structuring. PhD candidates will make use of what they learned in Module 1, through practical assignments working in small groups with other PhD candidates. Group exercises and discussions will draw upon local resources and meet local demands. PhD candidates are encouraged to choose their own data, however, they will be given a dataset from the lecturers, which might inspire them.
