What is onboarding?

Onboarding is a key process of integrating new employees into the organisation, thereby enhancing both their professional, social, cultural and organisational integration. As a result, employees feel welcomed as part of the organisation and better prepared for the tasks ahead of them. The sooner the new employee feels welcome and fully informed, the better and quicker they will be able to contribute to the organisation successfully.

Onboarding procedures are common in the private sector but often absent in academic institutions. In particular for newly hired Early Career Researchers (ECR), namely PhD candidates, such procedures will strongly impact both their integration into the organisation and clarification of roles and responsibilities of all stakeholders involved in their programme. In order to maximize their impact, it is therefore important that onboarding procedures are approved and supported by supervisors and Postgraduate offices. While it has been shown that successful onboarding contributes to increased well-being and motivation, many ECRs often feel somewhat lost and poorly supported when entering academia, leading to doubt, insecurity and sometimes even an early abandonment of their research project.

UCT and onboarding

In collaboration with the PRIDE network (Professionals in Doctoral Education), a working group was formed with the aim of drafting a publication on onboarding, focusing for the first time on doctoral candidates and postdocs and their adaptation process at the university.

UCT Prague initially launched an extensive questionnaire to assess awareness of onboarding, whether and how many people have encountered it, and what they would welcome within the academic environment. After evaluating the questionnaire, meetings were held in the private sector with HR professionals. We wanted to verify how onboarding is conducted in private companies and how we can leverage their know-how and experiences in our context.

The collected materials and interviews with HR professionals were used to create an adaptation plan, which was piloted from September 2023 at three institutes of  UCT Prague. The resulting adaptation plan, which is part of this page, will serve the needs of UCT Prague supervisors who work with newly hired doctoral candidates. Furthermore, the adaptation plan will be utilized for the PRIDE network publication, serving as a foundation for other European universities.

UCT Prague cooperates with partner universities in Europe on joint doctoral study programmes.

What is a “Double-Degree” programme?

It is doctoral study programme that is leading to two diplomas from both home university as well as partner university. Student works on one dissertation, the study programmes are fully integrated between collaborating universities and include specialized courses at home university and one interdisciplinary at partner university. 

Each successful applicant signs individual contract about doctoral double degree based on his/her particular situation (research area, supervisor’s requirements, home university requirements etc.). The contract is signed between UCT Prague and student’s home university.

Requirements for doctoral double degree contract:

  • Student has to agree with two supervisors – one from the home university, one from UCT Prague
  • Student has to be accepted by his/her supervisor to PhD studies at UCT Prague
  • Student has to be accepted to PhD studies at his/her home university
  • UCT Prague and student’s home university have to have a joint double degree study programme (list of offered programmes below)

Finances

In terms of cooperation with partner universities no tuition is required. Students are expected to cover any additional costs themselves.

What are the advantages?

Besides improved employability of graduates, there is emphasis on research activity coupled with a possibility to lead small research groups. The program inherently strengthens professional language knowledge. There are possibilities to gain practical skills thanks to cooperation with partner companies such as Zentiva, Zeva, Contipro, Lonza Biotec or in practically oriented departments of Czech Academy of Sciences, where are practical traineeships available. Last but not least there is excellent support of students, including motivational scholarships.

Stipends & scholarships

Types of doctoral stipends & scholarships:

  • Basic doctoral stipend
  • Doctoral stipend for pedagogical activities
  • Stipends from projects of the Internal Grant Agency

Health insurance coverage:

Based on the amendment to the Public Health Insurance Act, as of January 1, 2018, the state also covers insurance premiums for individuals over 26 years of age who are enrolled for the first time in a doctoral study program offered by a higher education institution in the Czech Republic, within the standard duration of study, in the form of full-time attendance, provided they are not employees (with a net monthly salary exceeding 10,000 CZK) or self-employed individuals according to § 5 of the Public Health Insurance Act. Basic doctoral stipend

It is granted for one academic year at the amount determined by the rector. The stipend amount is related to the contribution that the ministry provides for doctoral stipend. This stipend is granted just to PhDs in Czech study programs.

 The rector's decree (current wording among the documents below on the page) establishes the basic doctoral stipend for PhD candidates within the standard duration of full-time doctoral study programs accredited at the University of Chemistry and Technology, Prague (UCT Praha), at a monthly rate of 7 700 CZK. Based on the number of fulfilled obligations, the stipend amount in higher years ranges from 5 200 CZK to 7 700 CZK.

The Dean of faculty can award to full-time PhDs special purpose scholarship 2 900 CZK per month. PhD candidate has to fulfil the following conditions:

  • be a member of an IGA field-specific student scientific project 
  • annual evaluation criterion of at least 0.5 points (not for FET) or be a first-year PhD

Doctoral stipend for pedagogical activities

It is granted and its amount is determined by the dean (for programs implemented by the faculty) or the rector (for programs implemented by the University of Chemistry and Technology, Prague – UCT Prague). The condition for granting the stipend is the active involvement of the PhD candidate, within the standard duration of full-time doctoral study, in teaching students of bachelor's or master's study programs for at least 10 hrs/year. PhD candidate working at contractual institutions (i.e., outside the institutions of UCT Prague) must apply in writing for this stipend at the beginning of each academic year at the dean's office. This stipend is granted just to PhDs in Czech study programs. This application must include the approving opinion and signature of the supervisor from the contractual institution. PhD candidates from UCT institutions do not need to submit an application.

 The rector's decree (current wording among the documents below on the page) establishes the amount of the doctoral stipend for pedagogical activities at a monthly rate of 3 500 CZK.

Stipends from Internal Grant Agency Projects

Specific information, including deadlines, can be found on the relevant IGA website.

Category A: Student Scientific Project ("scientific project" or "VIGA").

→ A1: The field-specific student scientific project is a scientific project of basic or applied research, in which a group of students in the full-time form of doctoral study (DSP) and their supervisors are involved. An academic staff member at UCT Prague applies for this type of scientific project for a group of PhD candidates (i.e., PhD candidate do not apply for this type of project) and their supervisors (or specialist supervisors or consultants) for a specific study program/field. The maximum amount of stipends for PhD candidates and rewards for their supervisors within the field-specific student scientific project depends on the results of the professional activities of PhD candidates for the academic year preceding the year of the grant competition announcement (the so-called annual evaluation). The decisive factor is the achieved value of the criterion (see point scoring in the e-doctorand system/year+1). Based on the point evaluation in the e-doctorand system, a minimum of 500 CZK and a maximum of 4,000 CZK per month can be obtained in addition to the basic stipend.

→ A2: Research Student Scientific Project is a project of basic or applied research aimed at deepening the creative and publishing activities of PhD candidates within programs/fields accredited at UCT Prague. It is a scientific project that is managed and coordinated by PhD candidates themselves in the full-time form, who gain valuable practical experience in preparing project proposals, solving them, and presenting the achieved results. PhD candidates in the full-time form of DSP programs/fields accredited at UCT Prague, who meet the conditions specified in Article 8, Paragraph 4, of the Grant Regulations of the University of Chemistry and Technology, Prague, can apply for this type of scientific project. PhDs from other training facilities than UCT Prague can apply for this project if at least 50 % of their points from the annual assessment are affiliated with UCT Prague.    Members of the research team may also include DSP and master's students in programs accredited at UCT Prague. The members of the research team are always academic staff members (supervisors, specialist supervisors, or consultants) of the involved students. The number of students - members of the research team must not be less than the number of academic staff members - members of the research team throughout the project.

 The limits of financial resources that can be allocated to a student scientific project are determined for each year in accordance with the Declaration of the Internal Grant Competition of UCT Prague (see documents at the end of the page).

 Note! Each faculty may have its own limits and regulations, which are published no later than the start date of application submissions. The PhD candidate must adhere to the faculty limits published in the application and on the IGA website, or on the faculty websites (FCHT, FTOP, FPBT, FCHI).

 The amount of planned stipend for the Research Student Scientific Project A2 is not determined based on point values from the annual evaluation. Internal Regulation No. 20.33/17 Principles of the Student Grant Competition to Support Specific University Research Projects at UCT Prague applies.

 Category B: Student Social Project ("social project" or "SIGA"): These projects focus on cultural, social, educational, presentation, and sports activities. Social projects are intended for students in bachelor's, master's, and doctoral study programs accredited at UCT Prague and its faculties. Internal employees of UCT Prague or external workers can contribute to the project through unpaid collaboration.

 Category C: Pedagogical Project of Students and Academic Staff ("pedagogical project" or "PIGA").

 C1: Innovative pedagogical projects are intended for PhD candidates in the full-time form of DSP. An innovative pedagogical project may include: innovation of subjects in existing study programs, innovation of fields in existing study programs, creation and innovation of multimedia study materials, and other study supports for PhD candidates and academic staff at UCT Prague, students, and teachers of secondary and primary schools, as well as the creation and innovation of continuing education courses.

 → C2: University-wide pedagogical project aims to acquire, strengthen, and develop practical pedagogical skills and experiences of PhD candidateS within programs accredited at UCT Prague. An academic staff member at UCT Prague applies for this type of pedagogical project for a group of PhD candidates.

 →The limits of financial resources that can be allocated to a pedagogical project of students and academic staff are determined for each year in accordance with the Declaration of the Internal Grant Competition of UCT Prague.

Emil Votočka Doctoral Stipend for exceptional results in scientific and research activities supported by publication activities, demonstrated by the PhD candidate in the annual evaluation of professional activities for the previous academic year (the total achieved points related to the year of study are decisive). The rector decides on the awarding of the Emil Votočka Doctoral stipend and the determination of the maximum number of these stipends based on the recommendation of the Grant Council of UCT Prague. The stipend is paid monthly in installments derived from the allocated annual stipend amount (in previous years, 72,000 CZK/year, i.e., 6,000 CZK/month for the top twenty doctoral PhD candidates across the entire school).

Other doctoral stipends (for more information, refer to the Stipend Regulations of UCT Prague):

Accommodation, Special-Purpose, and Social Stipend: These can be obtained under the conditions specified in Article 6, 5, and 9 of the Stipend Regulations. Applications for these Stipend can be submitted during the enrollment process.

Hlávka Foundation – Hlávka Dormitory (external source of funding): PhD candidates, young academic and research staff, and full-time PhD candidates of Prague universities who achieve excellent academic results, are financially needy, do not have housing in Prague, and are not entrepreneurs, can apply for subsidized accommodation at the Hlávka Dormitory (Jenštejnská 1966/1, Prague 2). The application for the stipend is submitted through the Hlávka Foundation and the rectorate of UCT by no later than April 30 of each year – more information on the foundation's website.

Doctoral candidates can apply for certain grants and get involved in their resolution. Don't forget to inquire about the possibilities with your supervisor or at the Project Center.

→ GA ČR: Announced annually by the Grant Agency of the Czech Republic.

TA ČR: Announced annually by the Technology Agency of the Czech Republic. Programs: Alfa, Delta, Epsilon, Zeta, Competence Centers.

The Zeta program aims to support collaboration between the academic sphere and businesses by involving master's and PhD candidates from universities and young researchers under the age of 35. This age limit can be extended for a team member by the time spent on maternity or parental leave, long-term illness, or similar reasons.

NAKI: This is a program of the Ministry of Culture – Program of Applied Research and Development of National and Cultural Identity (NAKI II). Only research institutions can apply.

Full-time "Researcher" Employment

It is advisable to inquire about possible work involvement during the entrance interview for DSP. A PhD candidate can obtain a partial or full-time "Researcher" employment (salary tariffs) during their studies.

Grant Employment

This type of employment is possible if the student's research group is working on some kind of grant during their studies (see GRANTS). It is advisable to ask before starting the doctorate whether the research group I am joining is the principal investigator of a grant and whether I can be involved in the work. If the PhD candidate is under 26 years old during their involvement in the grant, employment up to 0.15%, will cover a maximum of expenses associated with tax deduction. Grant employment can be provided along with the Researcher employment or, for example, as an Agreement on Work Performance.

→ If the workload (V4) is equal to or greater than 50% (i.e., 20 h/week), the employee is entitled to a meal allowance.

→ Additionally, a 3% contribution to pension insurance is made monthly from the employee's base for social security (for a minimum of 50% workload - 20 h/week). See the rules for providing a contribution from UCT Prague to employees' pension insurance with a state contribution.

→ Employees can also take advantage of accommodation in training and recreational facilities at UCT Prague at discounted prices, vouchers for mental and physical regeneration (with a minimum workload of 50%), a multisport card, or the ČSOB Motivational Program, among others. Responsibilities 

If you have employment outside UCT Prague, remember to fill out the tax return for the given year.

Secondary Economic Activity ("VéHáčko")

A PhD candidate can become a solver of a task called basic supplementary activity, which is performed for remuneration and follows the educational, scientific, research, development, and other creative activities of UCT Prague, serving the more efficient use of human resources and property of UCT Prague. These tasks are performed by employees beyond their job duties and are rewarded. Agreements on work performed outside employment are concluded with students of UCT Prague or other individuals who do not have an employment relationship with UCT Prague. The head of the department to which they are directly subordinate allows employees to work on basic supplementary tasks.

 The responsible solver negotiates the work and services performed as basic supplementary activity with the customer based on a written or oral order. The responsible employees of the Department for the Record of Supplementary Activity, who need to electronically submit the order and specify the category of supplementary activity, will include the order in the school system. This way, the task is included in MIS - Main and Supplementary Activity, where settlement is also necessary later (performed by the solver – manual below or on the MIS- Main and Supplementary Activity website).

 For calculating the price for work in basic supplementary activity, the responsible solver proposes the inclusion of the provided performance into the following categories:

1.       scientific-research work, service activities, analyses, etc., using the instrumental equipment of UCT Prague, polygraphic works,

2.       consulting and advisory activities. Only works that do not require any equipment other than a computer as a text or spreadsheet processor can be included in category II.
