What is onboarding?

Onboarding is a key process of integrating new employees into the organisation, thereby enhancing both their professional, social, cultural and organisational integration. As a result, employees feel welcomed as part of the organisation and better prepared for the tasks ahead of them. The sooner the new employee feels welcome and fully informed, the better and quicker they will be able to contribute to the organisation successfully.

Onboarding procedures are common in the private sector but often absent in academic institutions. In particular for newly hired Early Career Researchers (ECR), namely PhD candidates, such procedures will strongly impact both their integration into the organisation and clarification of roles and responsibilities of all stakeholders involved in their programme. In order to maximize their impact, it is therefore important that onboarding procedures are approved and supported by supervisors and Postgraduate offices. While it has been shown that successful onboarding contributes to increased well-being and motivation, many ECRs often feel somewhat lost and poorly supported when entering academia, leading to doubt, insecurity and sometimes even an early abandonment of their research project.

UCT and onboarding

In collaboration with the PRIDE network (Professionals in Doctoral Education), a working group was formed with the aim of drafting a publication on onboarding, focusing for the first time on doctoral candidates and postdocs and their adaptation process at the university.

UCT Prague initially launched an extensive questionnaire to assess awareness of onboarding, whether and how many people have encountered it, and what they would welcome within the academic environment. After evaluating the questionnaire, meetings were held in the private sector with HR professionals. We wanted to verify how onboarding is conducted in private companies and how we can leverage their know-how and experiences in our context.

The collected materials and interviews with HR professionals were used to create an adaptation plan, which was piloted from September 2023 at three institutes of  UCT Prague. The resulting adaptation plan, which is part of this page, will serve the needs of UCT Prague supervisors who work with newly hired doctoral candidates. Furthermore, the adaptation plan will be utilized for the PRIDE network publication, serving as a foundation for other European universities.

What is a “Double-Degree” programme?

It is doctoral study programme that is leading to two diplomas from both home university as well as partner university. Student works on one dissertation, the study programmes are fully integrated between collaborating universities and include specialized courses at home university and one interdisciplinary at partner university. 

Each successful applicant signs individual contract about doctoral double degree based on his/her particular situation (research area, supervisor’s requirements, home university requirements etc.). The contract is signed between UCT Prague and student’s home university.

Requirements for doctoral double degree contract:

  • Student has to agree with two supervisors – one from the home university, one from UCT Prague
  • Student has to be accepted by his/her supervisor to PhD studies at UCT Prague
  • Student has to be accepted to PhD studies at his/her home university
  • UCT Prague and student’s home university have to have a joint double degree study programme (list of offered programmes below)

Finances

In terms of cooperation with partner universities no tuition is required. Students are expected to cover any additional costs themselves.

What are the advantages?

Besides improved employability of graduates, there is emphasis on research activity coupled with a possibility to lead small research groups. The program inherently strengthens professional language knowledge. There are possibilities to gain practical skills thanks to cooperation with partner companies such as Zentiva, Zeva, Contipro, Lonza Biotec or in practically oriented departments of Czech Academy of Sciences, where are practical traineeships available. Last but not least there is excellent support of students, including motivational scholarships.

PhD Studies at UCT Prague

PhD studies are focused on the scientific and independent creative activity of students in the field of research and development.
 
UCT Prague offers study in the following accredited doctoral study programs:
 
  • Standard – carried out at UCT Prague only,
  • Double degree (abbreviation DD, also "double diploma") – realized by UCT Prague in cooperation with accredited foreign partner universities.
All doctoral study programs of the double degree (DD) type are carried out only in the full-time form of study. Other study programmes can be carried out in the full-time form, or in the so-called "combined form" (combination of face-to-face and distance form).

 

UCT Prague has over 800 doctoral students conducting cutting-edge research work in all of its four faculties.

Doctoral students work closely with their advisors, primarily as scientific assistants, assisting with research projects in addition to completing any required coursework. The UCT Prague doctoral experience also includes opportunities for teaching and of course, writing and defending a doctoral dissertation related to the research projects.

Doctoral students at UCT Prague can complete their studies either as full-time students or as a combination of full-time and distance learning. Each student’s doctoral experience is always tailored to the needs of the individual student, according to the pace at which requirements are completed. The standard length of the doctoral study programme is four years, according to current accreditation requirements.

 

Study Programmes

A new full list of available study programmes and dissertation thesis topics is published on February 15.

  • The offer of Dissertation Thesis topics – new listed topics for submitting applications for study from 2023/2024 will be published on February 15, 2023. For some study programmes, topics from 2022/2023 remain visible for the inspiration of applicants and will be replaced in February by newly posted topics.

Procedure

Applicants apply for a specific dissertation thesis topic supervised by a specific supervisor.
Before submitting the application, the applicant must contact the supervisor listed for the selected topic and make arrangements with him/her to confirm the intention to submit the application for the given topic.
  1. Check the list of PhD study programmes and dissertation thesis
  2. Contact a Supervisor listed in the chosen Dissertation Thesis and get his/her approval to apply
  3. Fill out the ELECTRONICAL APPLICATION SYSTEM (EAS)
  4.  Supervisor approval: It has to be proven to the faculty that the Supervisor is informed about the Applicant and the topic she/he has chosen. This approval has to be uploaded to the EAS prior the submitting the application. There are two alternatives possible: 
    1.  Application filled in EAS (with watermark), downloaded and signed by Supervisor from UCT. Then scan this approved application and submit it to EAS.
    2.  Approval email from Supervisor. This email must include clear approval from the Supervisor, the name of the applicant, the topic of the dissertation thesis, Supervisor's Department.
  5. Upload the Medical Assessment Form⇓ confirming your fitness to study at UCT (Use the form provided by UCT). In the matter of time pressure or technical problems you can agree with the Dean's office to upload the form later.
  6. Upload the documents listed below:
    1.  Curriculum vitae (including a list of published works, other results of professional activity, and previous experience)
    2. Diploma and diploma supplement 
    3. Certificate of English Language Knowledge of at least the level B2 (Current UCT students: if you do not have a certificate, arrange an examination at the Department of Languages – it is necessary that you have completed the data in the EAS and send a request for an examination at outgoing@vscht.cz)

      UCT Prague requires students to have a good command of English in order to study successfully. You must provide us with proof of your English language skills. 

      Non-Native English Speaker

      Non-native speakers are required to prove the language competence of B2+ according to the Common European Framework of Reference for Languages.

      Recognized Certificates are:

      1. Cambridge ESOL: minimum B2 First (FCE),
      2. TOEFL iBT: minimum score 80,
      3. IELTS: minimum overall band score 6.0, 
      4. PTE Academics: minimum score 60,
      5. Duolingo English Test: minimum score 110

      Other Acceptable Formats:

      Confirmation of language knowledge confirmed by a language centre or a language school. The confirmation will only be accepted if it confirms the minimum language level B2 and above.

      Students who studied in the English language shall provide official confirmation.

      Native English Speakers

      Students whose mother tongue is English are excluded from this obligation.

    4. Motivation Letter (maximum of 2 A4 pages)
    5. Certificate of Recognition of Previous Education - for applicants who graduated from university abroad
  7. Send the application
  8. Download the application to PDF (this option is to be found in EAS), sign it and have it signed by the supervisor. After that, upload the signed application as an attachment to EAS. (Upload it to the section Detailed information on admission procedure). This application has to be provided to Dean's office and Application Jurry

In the event that the applicant successfully passes the admissions procedure, it will be necessary to provide certified copies of the Diploma and Diploma Supplement and the original Medical Assessment Form in order to be officially enrolled in the studies.

The Recognition of Foreign Education is a process of verifying that the education level which you have completed abroad is equal to the education level required for studying at a university in the Czech Republic. In this process, your Diploma/Graduation Certificate and the Transcript of Records are assessed by Czech institutions, and at the end of the process, a Nostrification/Recognition Certificate is issued to you. 

The Recognition of Foreign Education is an indispensable requirement for admission to the studies at UCT Prague.

Explanatory notes:

  • Recognition of Previous Education / Nostrification = process of verifying that the education level which you have completed abroad is equal to the education level required for studying at a university in the Czech Republic. This process is done in the Czech Republic by Czech institutions. 

  • Authentication: Apostille / Superlegalization = Apostille or Superlegalization is a process of verification that the signatures and stamps on the document are genuine. This process is a mandatory requirement in case of certain countries, and the documents are incomplete without this verification. This process is done in the country where the documents have been issued.

  • Verified (notary-certified / true) Copy = An official certified copy identical to the original. It is verified by a notary or by an official authority in your country and confirmed with an official stamp.

    In the Czech Republic, the verified copies are issued by a notary (the notary makes an official copy of a document and then stamps it, which proves the authenticity of the document).

    Please learn what the process is like in your country. UCT Prague needs to receive official true copies of the Diploma and Transcripts of Records which are exactly the same as the originals.

    These true copies should be also firmly attached to a translation to English/Czech (if the document isn’t issued in English), and they should be also firmly attached to an Apostille/Superlegalization clause (issued by an authority in your country and/or a Czech embassy).

 

 

Why is a verified copy required? UCT Prague must keep the documents archived for 45 years; therefore, if you send us an original document, we cannot return it back to you. Do not provide the originals of your documents to anyone as you may need them for other matters during your life. 

 

 

A Short Overview of the Process

You can submit the online application without uploading a Certificate of Recognition, however, when filling in the online application, you must choose a method of recognition based on where your Diploma / Graduation Certificate and Transcript of Records have been issued

In the online application you will find these options: 

    1. I have a diploma issued by a school in the Czech Republic, Slovakia, Slovenia, Poland or Hungary = choose this option if your Graduation Certificate / Diploma has been issued in the Czech Republic, Slovakia, Slovenia, Poland or Hungary
    2.  I have a European Baccalaureate Diploma = choose this option if you have received a European Baccalaureate diploma
    3.  I have a diploma and DON'T have a Nostrification Certificate = choose this option if you haven't got a Nostrification Certificate from a Czech institution yet.
      If you choose this option, your documents will be assessed by UCT Prague and if complying with the requirements, the Certificate of Recognition of Previous Foreign Education will be issued as a part of the admission process. 
    4. I have a Nostrification Certificate issued in the Czech Republic and a diploma = choose this option if you have gone through the process of Nostrification, and you have already received an official Certificate of Nostrification from Prague City Hall or a similar official Czech authority

 

Regardless of which option you choose, you will need to deliver a verified copy of your Diploma and Transcript of Records to UCT Prague AS SOON AS POSSIBLE after you receive your Letter of Acceptance, however, by August 31 at the latest.

APPLICANTS INTENDING TO STUDY AT UCT PRAGUE

When filling in the online application for the studies, you need to choose one of the below-stated options of the Recognition of Foreign Education.

The documents must be delivered to UCT Prague AS SOON AS POSSIBLE after you receive your Letter of Acceptance, however, by August 31 at the latest.

 

A) A diploma issued by a school in the Czech Republic, Slovakia, Slovenia, Poland or Hungary

The Recognition of Graduation Certificates / Diplomas issued in the following countries: Czech Republic, Slovakia, Slovenia, Poland, and Hungary is proceeded automatically without any further administrative proceedings. 

Per the requirements of the Ministry of Education, Youth and Sports, a verified copy of a Graduation Certificate / Diploma and Transcript of Records with a translation to the Czech language has to be provided to UCT Prague.

 

B) A European Baccalaureate Diploma

European Baccalaureate diplomas issued by International high schools are recognized without any further administrative proceedings.

As per the requirements of the Ministry of Education, Youth and Sports, a verified copy of a Graduation Certificate and Transcript of Records with a translation to the Czech language has to be provided to UCT Prague.

 

C) I have a diploma, and I DON'T have a Nostrification Certificate

As UCT Prague is a holder of institutional accreditation, the Recognition of Previous Foreign Education can be conducted as a part of the admission procedure. The Recognition Certificate issued within this process is valid at UCT Prague only and it cannot be used for admission procedures at other institutions.

Accepted Graduation Certificates/Diplomas: International Baccalaureate (IB Diploma), Cambridge International A Level Certificate, other Graduation Certificates and Diplomas issued by accredited schools/universities worldwide 

Fee: CZK 800,-
Validity: Only at UCT Prague

HOW TO PROCEED?

*Note that procedures may differ from country to country. In certain countries, the Apostille/Superlegalization is issued only on original documents; in other countries, the Apostille/Superlegalization can be issued on a verified copy too.  Therefore the sequence of steps may differ from country to country.

  1. Make a verified (true) copy of the Graduation Certificate / Diploma and of the Transcript of Records (the copy must be identical to the original and confirmed by a notary or any other official authority in your country)

  2. Authenticate the stamps and signatures on the verified copy of the Graduation Certificate / Diploma and the Transcript of Records
    Authentication of Documents (Click to open)

    In accordance with section 90, subsection 3 of Act No. 111/1998 Coll., on Higher Education Institutions, UCT Prague requires authentication of signatures and stamps on the documents. The authentication must be provided in the country where the documents have been issued!

    The authentication requirements differ according to the international treaties applying to the country where the original document was issued. 

    The authentication methods are:

    1. Authentication is not required for documents issued in countries that are parties to a relevant international agreement abolishing the requirement of legalization for foreign public documents
    2. Apostille – For members of the Hague Convention the legalization proceeds by Apostille – a unified form of authentication of documents issued by the competent administrative body of the state in which the document was issued
    3. Legalization/super-legalization – Unless the international agreement sets otherwise, the authenticity of signatures and stamps on the document must be verified by two bodies:
      1. The Ministry of Foreign Affairs of the country, where the institution which issued the document is based
      2. Respective representative office of the Czech Republic (e.g. Embassy / Consulate) in the country where the institution which issued the document is based

  3. If the Graduation Certificate / Diploma and the Transcript of Records are not issued in the English language, make a certified translation to the English or Czech language by a certified (court) translator
    (Note that some Embassies may require translation to the Czech language.)

  4. Ask the certified translator to firmly attach the translation to the verified copy of the Certificate and the Transcript of Records

  5. Send a scan of the verified copy of the Graduation Certificate / Diploma and Transcript of Records with the authentication (Apostille/Superlegalization), and with the translation to the Czech or English language to the email admissions@vscht.cz / mundus@vscht.cz (IMATEC) for confirmation whether they are correct.

    This means: 
    * A verified copy (true copy) of the diploma issued in your language + a verified copy of the  transcript of records
    * Official translation of the diploma and official translation of the transcript
    *  Apostille/Superlegalitazion for diploma and apostille/superlegalization for the transcript of records

  6. Pay the fee of CZK 800,- Payment information with a unique code is provided in your online application

  7. Once confirmed by UCT Prague that the documents are correct:
    1. Upload the scan to your online application to the section Proof of Education
    2. Send the verified copy of the Graduation Certificate /Diploma and Transcript of Records with the translation to the Czech or English language with the authentication (Apostille/Superlegalization) by a delivery company to the address:

You may be asked to submit the following documents if necessary:

  • Certified written power of attorney, if submitted by a person other than the graduate,
  • Certified copy of a Marriage Certificate or a Judgment of Divorce or another document in case of a change of the name indicated on the Diploma,
  • Confirmation of the relevant secondary school abroad or any other authorized body in the respective country on the fact that the secondary school leaver of the foreign secondary school concerned is in the given country entitled to apply for a bachelor's degree programme.

The Recognition fee of CZK 800,- is non-refundable, it cannot be waived or reduced. 

 

D) I have a Nostrification Certificate issued in the Czech Republic and a diploma

The General Recognition of Foreign Secondary Education ("Nostrification”) is regulated by the Ministry of Education, Youth and Sports and provided by the educational departments of regional authorities. In the case of Prague, the competent authority is Prague City Hall (Magistrát hl. m. Prahy). 

If you have already undergone the process of Nostrification conducted by a competent authority in the Czech Republic, upload a scan of the Nostrification Certificate along with your diploma when submitting the application and provide a verified copy (paper version) of the Nostrification Certificate to UCT Prague as soon as possible.

 

 

INFORMATION ON THE NOSTRIFICATION PROCESS

The applicant generally needs to be in the Czech Republic to apply in person and the process of recognition takes a few months. If the curriculum and scope of education at a foreign school partly differ, the Regional Authority may order the applicant to sit a recognition examination.

APPLICANTS FOR RECOGNITION OF FOREIGN UNIVERSITY EDUCATION ONLY 

(No studies at UCT intended)

The Recognition of a Foreign Bachelor's or Master's Diploma can be processed by UCT Prague if the degree programme completed abroad has a similar curriculum as a degree programme accredited at UCT Prague. 

If the curriculum differs, you are advised to inquire which other  (HEI) provides a study programme corresponding to your prior education in order to apply for the Recognition at that institution.

Fee: CZK 3.000,-
Validity: At all universities in the Czech Republic

Please note:
According to the administrative code, the applicant cannot require the recognition of the same higher education qualification from multiple public HEIs simultaneously. If the request is rejected by a university, the applicant can submit it to another HEI only after the rejection has become legally effective (i.e. after 15 days from receipt of the decision).

In case of doubts, the Ministry of Education, Youth and Sports of the CR appoint the respective university to assess the qualification or makes the decision itself. The Ministry acts as an appellate body for rejected applications.

HOW TO PROCEED?

  1. Before submitting an application, it is necessary to make sure that UCT Prague is authorized to process such an application, see Programmes catalogue, or please contact business.admission@vscht.cz (School of Business applicants)

  2. Print and sign the Application Form >

  3. Make a verified (true) copy of the Diploma and Diploma supplement (the copy must be identical to the original and confirmed by a Notary Public or another official authority in your country)

  4. Authenticate the stamps and signatures on the verified copy of the Diploma and the Diploma Supplement
    Authentication of Documents

    In accordance with section 90, subsection 3 of Act No. 111/1998 Coll., on Higher Education Institutions, UCT Prague requires authentication of signatures and stamps on the documents. The authentication must be provided in the country where the documents have been issued!

    The authentication requirements differ according to the international treaties applying to the country where the original document was issued. 

    The authentication methods are: 

    1. Authentication is not required for documents issued in countries that are parties to a relevant international agreement abolishing the requirement of legalization for foreign public documents
    2. Apostille – For members of the Hague Convention the legalization proceeds by Apostille – a unified form of authentication of documents issued by the competent administrative body of the state in which the document was issued
    3. Legalization/super-legalization – Unless the international agreement sets otherwise, the authenticity of signatures and stamps on the document must be verified by two bodies:
      1. The Ministry of Foreign Affairs of the country, where the institution which issued the document is based
      2. Respective representative office of the Czech Republic (e.g. Embassy / Consulate) in the country where the institution which issued the document is based

  5. If the Diploma and the Diploma Supplement are not issued in the English language, make a certified translation to the English or Czech language by a certified (court) translator
    (Note that some Embassies may require translation to the Czech language.)

  6. Ask the certified translator to firmly attach the translation to the verified copy of the Diploma and the Diploma Supplement 

  7. Pay the fee of CZK 3.000,- in accordance with the section 90a of Act No. 111/1998 Coll., on Higher Education Institutions

APPLICATION PROCESSING TIME

The deadlines for the proceedings are set by the general rules of administrative procedures, i.e. 30 days since the delivery. In complex cases, the deadline can be extended by 30 more days. An applicant will receive information on the result of the assessment via email.

More Information 

 If it is found during the recognition proceeding that it is not within the scope of the rector’s responsibility to make a decision on the request for recognition of foreign higher education, e.g. because UCT Prague does not provide a similar study programme, the fee is not charged, and, if already paid, will be returned to the applicant.

There is no refund of the fee if the recognition proceeding is discontinued due to a deficient application (absence of documents necessary for assessing the application), and the applicant’s failure to remove the deficiency upon request. 

There is no refund of the fee in case of rejection of the application due to substantial differences between the compared study programmes.

In case the purpose of the recognition is not further study, the equality of the education will be assessed in accordance with the Agreement – if substantial differences between the compared study programmes are found, the rector may reject the application.

APPEAL PROCEDURE

Applicants are entitled to submit an appeal within 15 days of receiving the decision. The appeal is submitted to the Ministry of Education, Youth and Sports of the Czech Republic through the University of Chemistry and Technology, Prague (or, in general terms, through the institution that has issued the decision). The university will either allow the appeal in full or passes it on to the Czech Ministry of Education no later than 30 days upon receipt of the appeal. The Ministry will then issue a final decision.

When and how can I apply for doctoral studies?

Application deadlines are published here. Ask the Dean’s office at the Faculty where you wish to study for instructions about submitting an application at other times.

What must be included in my doctoral studies application?

Start by creating a new application in UCT Prague’s electronic information system. Fill out the application and submit the required documents online. You will then need to visit the Dean's office for the faculty you’re applying to with the following: 

  • Printout of your Admissions Form from the electronic information system signed by your future supervisor/mentor
  • Certificate of medical fitness (the certificate for download/printing is in electronic information system)
  • Curriculum vitae (CV)
  • Evidence of education and previous experience
  • List of publications
  • List of other application-related academic or professional outcomes and accomplishments

For dual degree PhD programmes, you will also need to submit:

  • Certificate of English competency, at least B2

I am in the last year of my Master degree program. How do I fill out the “education” field in the electronic information system’s Admission Form?

Fill out both Bachelor and Master degrees. For the latter, just note your expected year of completion.

How do I document my publications, academic accomplishments, and professional experiences if I don't have any?

Just state that you have none of these.

Who is eligible to be my supervisor/mentor if I want to do a doctorate at the Academy of Sciences of the Czech Republic (CAS)?

Any academic employee of the Czech Academy of Sciences (CAS) with a PhD degree who is, at the same time, a faculty member of UCT Prague with minimally an Associate Professor (“Docent”) rank. If your potential supervisor/mentor from CAS is a faculty member of UCT Prague but doesn’t minimally have Associate Professor (“Docent”) rank, then mentorship for the topic must be approved by the Scientific Council of the pertinent UCT faculty.

If your potential supervisor/mentor from CAS is not affiliated with UCT Prague, then either:

  • The supervisor/mentor’s institute at CAS must have a “Partial Agreement on Mutual Cooperation in the Implementation of Doctoral Study Programmes” with the respective UCT Prague study programme. This makes potential supervisor/mentor eligible assuming that s/he has a PhD degree with minimally Associate Professor (“Docent”) rank elsewhere, or that s/he has a PhD degree approved by the Scientific Council of the pertinent UCT Prague faculty.
  • The respective institute of CAS does not have signed a “Partial agreement on mutual cooperation in the implementation of doctoral study programs” with the pertinent UCT Prague study programme. Then, the supervisor from the given institute of CAS can only act as an unaffiliated “thesis adviser-specialist” and you must find another, formally-assigned supervisor/mentor from the pertinent UCT Prague department.

What awaits me during my studies?

What are my doctoral study responsibilities? When am I due to complete the requirements?

Doctoral studies are supervised by a formally-assigned mentor, always according to an individual study plan (ISP) approved by the faculty’s Scientific Council and the Faculty Dean. During the course of doctoral studies, the candidate must pass the required examinations in given subjects prescribed by the DSP and approved in the ISP.

Active participation in professional conferences in the Czech Republic and abroad is an integral part of the studies. Since the 2020/2021 academic year, doctoral candidates are required to go abroad for at least 30 days during their studies.

During their studies, every doctoral candidate must give a professional lecture in English at UCT Prague’s scientific conference for doctoral candidates.

At the end of each academic year, before a given deadline, all doctoral candidates are required to submit an annual progress report to their mentor via UCT Prague’s E-doktorand evaluation system. The deadlines are available in the E-doktorand after logging in.

Doctoral studies are officially concluded with a state doctoral examination and a public defense of the dissertation. The essential part of the state doctoral exam, which takes place prior to the dissertation defense, is a theoretical oral exam verifying your knowledge of the professional subjects. The exam consists of three thematic areas chosen in agreement with your mentor and related with your ISP. The dissertation defense is the professional component of the state doctoral exam used to verify professional competencies related to the completion of your own doctoral research. The exam takes place in the form of an extended debate after the dissertation presentation. To schedule your dissertation defense, you must submit a list of at least two co-authored scholarly articles, preferably in peer-reviewed academic journals (note that each UCT faculty may have different requirements, so be sure to check it far in advance).

It is assumed that doctoral candidates will pass the exams in all ISP subjects at the latest by the end of their second year of studies (the assumption is included in the regulation determining the amount of the basic doctoral stipend). Each doctoral candidate is also obliged, usually by the end of the second year, to participate in the academic conference for doctoral students. At latest by the end of the second year of studies, doctoral candidates must choose the three thematic areas for their state exams. You are expected to successfully complete the state doctoral examination by the end of the third year of your doctoral programme.

Will I be able to apply for a grant from the Internal Grant Agency (IGA) if I work part-time at the Academy of Sciences of the Czech Republic (CAS)?

Yes, you can apply for an IGA grant if you are a full-time candidate in a doctoral study programme accredited by UCT Prague:

  • If UCT Prague is also where you conduct your doctoral research
  • If you conduct your doctoral research at another research institution (usually CAS) based on an agreement with UCT Prague. The condition for your IGA grant eligibility is that at least 50% of the points that you earned for publication activities come from the research papers in which you are explicitly affiliated with UCT Prague (related to the methodology used in the annual professional evaluation of doctoral candidates at UCT Prague, see E-doktorand evaluation system). IGA application deadlines are available in Rector's decree “Announcement of the internal grant competition of VŠCHT Prague” for the given year of the competition.

If you do not conduct your research at UCT Prague and there is no agreement between UCT Prague and the other institution for reporting publication activities, then you are not eligible for an IGA grant.

Will I have to go abroad in order to complete my doctoral studies, and for how long?

Yes, fulfilling a part of your doctoral study requirements abroad is obligatory (it has been since the 2020/2021 academic year). The minimum time for doctoral study/research-related stays abroad is 30 days. The 30 days do not have to happen at one time and they can be accumulated with international conference attendance or with a series of shorter study/research-related stays. This obligation can also be fulfilled by direct participation in an international project or work with an international research group, if the results are published in an international journal or presented to the international academic public in another way.

Is it possible to delete a course from my ISP that I no longer want to complete?

It is possible, but it does not happen automatically (there is no “entitlement” to such changes).

You must submit a request to cancel the course and state why. This request must be signed by your supervisor/mentor, the head of your department, and the Chair of the faculty’s Scientific Council and then forwarded to your faculty’s Dean's office for the Dean's approval.

Are there any activities at UCT Prague not related to doctoral studies?

There are many options. Start by learning about student activities at UCT Prague that you can participate in. Options range from active involvement as a student in the Academic Senate to various cultural and artistic clubs and groups. If you want to form a new group or club, you are welcome to submit a registration here.

Livelihood (and all about finances)

Will I still be entitled to student discounts/benefits during my doctoral studies? What kinds?

You will have student status for the entire duration of your doctoral studies, but you can only renew your international student identity card (ISIC) while you are studying full-time (usually for four years from the start of your doctoral studies). Note that many discounts and benefits are capped at 26 years of age and you need to check this with each discount provider. For example, public transportation discounts can be used during doctoral studies, but usually only up to the age of 26. Up to the age of 28, you can apply for discounts when filing your tax return if you are a full-time doctoral student. Nonetheless, some discounts have no age restrictions.

If I don't have a side job, will I have to pay for health and social security myself?

Starting 1 January 2018, a change in Czech Act No. 48/1997 Coll. came into effect, which decrees that if you are studying in your first doctoral programme full-time, Czech national health insurance is covered for you by the state. But only if you don't have any employment aside, then Czech national health insurance is paid for you by your employer according to a calculation based on your employment contract, i.e. how much you work part-time.

Over the age of 26, you are required to report to the Czech health insurance company (“Všeobecná zdravotní pojišťovna“, abbreviated as “VZP”) the fact that the state is paying for your insurance on the basis of your doctoral studies. UCT Prague should report this for you, but it is a good idea to double-check with your Dean's office or with your health insurance company directly.

If you end your side job (at UCT Prague or anywhere else) during your full-time doctoral studies, you must report this personally to your health insurance company. The insurance will then (if the conditions in the first paragraph are met) be again paid by the state.

By the way, most health insurance companies now offer policyholders electronic access to their data (similar to internet banking) so you can check what data and payments the insurance company has on record for you.

Paying social security insurance is not obligatory, assuming that you are enrolled in a full-time doctoral programme and you don’t have any side job (but you can voluntarily pay for it) and you do have to report anything anywhere. If you get a side job during your studies, social security insurance will be paid for you by your employer.

Can I still live in the dormitories even as a doctoral candidate?

Yes, during your doctoral studies, you still have student status and you are entitled to live in the dormitories at a discounted price.

How much is the basic doctoral stipend? What other stipends are available?

The basic doctoral stipend is 7,700 CZK/month. If you are engaged in teaching activities, an additional 3,500 CZK/month will be added to this amount. Your basic doctoral stipend may be reduced if you do not fulfill your individual study plan, as determined by UCT Prague internal regulations (see Determining the amount of the basic doctoral stipend, in Czech).

For the calendar year of 2023 the basic doctoral stipend has been raised by 2,900 CZK/month effective from 01.06.2023. Only PhD candidates satisfying the criteria stated in the Rectors decree (in Czech). These are:

  1. The student is at the time of enrolment part of the solver team of A1 grant of the Internal Grant Agency and is in their 1st year or in the 2nd to 4th year. If the latter applies, the student needs to the criterium in the yearly report grater/equal to 2.00 as of 30.11.2022.
  2. The student is in a given month part of the solver team of a running A1 grant of the Internal Grant Agency.
How many hours do doctoral candidates work? Will I be entitled to vacations or holiday pay?

Doctoral candidates work 40 hours per week, and you are entitled to 30 days of vacation. Working hours can be adjusted upon agreement with your supervisor/mentor.
