What is onboarding?

Onboarding is a key process of integrating new employees into the organisation, thereby enhancing both their professional, social, cultural and organisational integration. As a result, employees feel welcomed as part of the organisation and better prepared for the tasks ahead of them. The sooner the new employee feels welcome and fully informed, the better and quicker they will be able to contribute to the organisation successfully.

Onboarding procedures are common in the private sector but often absent in academic institutions. In particular for newly hired Early Career Researchers (ECR), namely PhD candidates, such procedures will strongly impact both their integration into the organisation and clarification of roles and responsibilities of all stakeholders involved in their programme. In order to maximize their impact, it is therefore important that onboarding procedures are approved and supported by supervisors and Postgraduate offices. While it has been shown that successful onboarding contributes to increased well-being and motivation, many ECRs often feel somewhat lost and poorly supported when entering academia, leading to doubt, insecurity and sometimes even an early abandonment of their research project.

UCT and onboarding

In collaboration with the PRIDE network (Professionals in Doctoral Education), a working group was formed with the aim of drafting a publication on onboarding, focusing for the first time on doctoral candidates and postdocs and their adaptation process at the university.

UCT Prague initially launched an extensive questionnaire to assess awareness of onboarding, whether and how many people have encountered it, and what they would welcome within the academic environment. After evaluating the questionnaire, meetings were held in the private sector with HR professionals. We wanted to verify how onboarding is conducted in private companies and how we can leverage their know-how and experiences in our context.

The collected materials and interviews with HR professionals were used to create an adaptation plan, which was piloted from September 2023 at three institutes of  UCT Prague. The resulting adaptation plan, which is part of this page, will serve the needs of UCT Prague supervisors who work with newly hired doctoral candidates. Furthermore, the adaptation plan will be utilized for the PRIDE network publication, serving as a foundation for other European universities.

UCT Prague cooperates with partner universities in Europe on joint doctoral study programmes.

What is a “Double-Degree” programme?

It is doctoral study programme that is leading to two diplomas from both home university as well as partner university. Student works on one dissertation, the study programmes are fully integrated between collaborating universities and include specialized courses at home university and one interdisciplinary at partner university. 

Each successful applicant signs individual contract about doctoral double degree based on his/her particular situation (research area, supervisor’s requirements, home university requirements etc.). The contract is signed between UCT Prague and student’s home university.

Requirements for doctoral double degree contract:

  • Student has to agree with two supervisors – one from the home university, one from UCT Prague
  • Student has to be accepted by his/her supervisor to PhD studies at UCT Prague
  • Student has to be accepted to PhD studies at his/her home university
  • UCT Prague and student’s home university have to have a joint double degree study programme (list of offered programmes below)

Finances

In terms of cooperation with partner universities no tuition is required. Students are expected to cover any additional costs themselves.

What are the advantages?

Besides improved employability of graduates, there is emphasis on research activity coupled with a possibility to lead small research groups. The program inherently strengthens professional language knowledge. There are possibilities to gain practical skills thanks to cooperation with partner companies such as Zentiva, Zeva, Contipro, Lonza Biotec or in practically oriented departments of Czech Academy of Sciences, where are practical traineeships available. Last but not least there is excellent support of students, including motivational scholarships.

Specialized Subjects (Module A and B)

Module A covers subjects aimed at acquiring or deepening the knowledge necessary to achieve the doctoral level of education, specifically characteristic for the studied program, and providing the necessary specialization within it.

Module B is a consolidated offering of specialized study subjects for the Doctoral Study Program (DSP), with the purpose of allowing students to expand their professional knowledge in areas that are complementary to the studied DSP. This expansion contributes to the graduate's ability to comprehensively understand issues within the studied field and to define the needs for solving research tasks in the context of interdisciplinary solutions. Students are required to choose a total of at least four subjects in a combination determined by the departmental board.

The list of specialized subjects recommended for a specific doctoral study program can be found in the study plan of the respective program (below). The study plan also specifies the number of specialized subjects (Module A and B) that students must enroll in as part of their individual study plan.

Transferrable Skills Subjects (Module C)

Furthermore, a doctoral candidate has the option to select subjects from the university-wide elective courses, known as Module C, to acquire and develop transferrable skills. This module offers a consolidated selection of several courses primarily recommended for doctoral candidates. The content of these courses corresponds to the needs of the applied sphere in both academic and non-academic environments. By choosing courses from this module, students have the opportunity to shape their competences according to their intended future application in basic research or in practice.

Courses within Module C are labeled with the keywords "Module C" in the Lifelong Learning course offerings. To facilitate searching, a doctoral candidate can enter "module c" as keywords without filling in anything else.

Survival guide

Greetings and welcome to your doctoral studies. We, the doctoral candidates from The Electronic PhD Guide team, have prepared a (relatively) short and (hopefully) clear “Survival Guide” for you. The guide should help you orientate yourself in terms of what is expected of you during your doctoral studies—what you might need, and what you should not to forget. Compared to your previous undergraduate and graduate work, doctoral studies are quite different. They are specific and individual, and it may be that things could be a little different in your case, or perhaps you will not find an exact answer to your question. PhD candidates are expected to be relatively independent, and for that reason, the very first point of this survival guide is:

  1. Review important information. Notable information sources are:
    1.  The Doctoral Electronic Guidebook at phd.vscht.cz (Note: English version is currently slightly different from the Czech version)
    2. Study and examination rules and policies
    3. Facebook page for UCT Prague doctoral candidates (open to all, but mostly in Czech at present)

  2. If you don't know something, please don’t hesitate to ask us. Your mentor, your laboratory colleagues, the Deans’ offices, Faculty heads, departmental councils, Vice-Deans, Tutors (currently info in Czech only), Mili Losmanová, the Counselling and Career Centre, the Department of International Relations, or us. No question is too trivial, and the key to success is communication.

  3. Registration/enrolment: Here's how to do it. Don’t forget that you have to register for each year of study, every year.

  4. Go through all doctoral study requirements and create your individual study plan (ISP):
    1. Study requirements for UCT Prague’s individual faculties are here: Faculty of Chemical Technology, Faculty of Food and Biochemical Technology, Faculty of Environmental Technology, Faculty of Chemical Engineering. Generally speaking, requirements include classes listed in a study programme, participation at conferences in English, the basic part of the state doctoral exam (“státnice” in Czech), and the PhD thesis defense. Other requirements include international experience (research stays abroad or/and international collaboration, see Study and Examination Regulations and schloraly publishing (see Subject Requirements)
    2. "Creating an ISP” means that you choose what classes you want to take in relation to your study programme and when you plan to complete them. Our advice is to take into consideration also the requirements of the basic part of your state doctoral exam while choosing the classes (list of classes, here).

  5. Get familiar with the “e-doktorand” evaluation system and write an annual progress report:
    The old e-doktorand evaluation system was replaced by a new upgraded one starting with the 2023-24 academic year.
    1. E-doktorand is UCT Prague’s system used to evaluate doctoral candidates, assigning points for achieved results of study. Based on these points, each doctoral scholarship amount is determined (among other things), which is why it is really important to understand how this system works.
    2. Attention: After the first year of PhD study and later on, the deadline for entering data into the e-doctorate system is usually in the middle of the summer.

  6. Make a dissertation development plan with your mentor, including working hours for your research related duties and activities. It is good to set interim goals and discuss them on an ongoing basis. Four years may seem like a long time, but it flies by quickly.

  7. Make an arrangement for your future pedagogical duties and activities (teaching, consulting on Master theses, helping students, and so on), if you have not already done so. Pedagogical activities can take a lot of time, and you need to count on this when making your individual plan.

  8. Get familiar with how internal UCT project grants work (VIGA/PIGA/SIGA): These are  great opportunities to get more funding and learn how to apply for and carry out various types of research, educational, or social projects. It is good to have the project preliminarily prepared before Christmas, because the deadline for submitting project applications is usually the beginning of January (VIGA, PIGA). SIGA’s deadline is in December.

  9. Explore additional options
    1. Look abroad, discover funding options
    2. Keep track of other scholarships.
    3. Take advantage of accommodation in UCT Prague’s dormitories.
    4. Extend your research and academic skills, participate in workshops and other events.

    5. Enrol in Effective Scientific Writing, a two-semester course (I and II) that will teach you how to write professionally for academic purposes and increase your chances of publishing success.
    6. Join the mentoring programme and other Counselling and Career Centre activities.
    7. Join the UCT Prague community. You can find various associations and student activities at: aktivni.vscht.cz.
    8. Become a tutor.
    9. Use other services offered by UCT Prague: “Test Tube”, UCT’s day care centre (in Czech), Sports, Recreational facilities
    10. Start tutoring (in Czech)

  10. Manage your daily routine; here is a list of things that might be useful to you:
    1. Emil
    2. Phonebook
    3. UCT Prague maps (in Czech)
    4. OKbase (for doctoral candidates who are also UCT Prague employees)
    5. Notification about operating lab devices at night (in Czech)
    6. Preparation of presentations, posters. Here, among other things, you will find instructions on where to print posters as well as official school logos and presentation templates.

  11. When you have a problem
    1. Preferably, discuss it with your mentor, otherwise with the head of your department or with a departmental academic council representative.
    2. Try reaching out to the Counselling and Career Centre or a tutor. Did you know that the centre has psychological, legal, and career counselling support?
    3. Ask a representative for doctoral candidates on the Academic Senates (University Senate, Faculty of Chemical Engineering, Faculty of Chemical Technology, Faculty of Food and Biochemical Technology, Faculty of Environmental technology) or the Ethics Committee for assistance.
    4. If your issue is related to research projects, your studies, the e-doktorand evaluation system, and so on, Mili Losmanová from the Research and Technology Transfer Office can help you.
    5. Do you have a problem with English? Or you need to prepare for an conference taking place in English (i.e. one of the study requirements)? The Department of Languages offers English courses for doctoral candidates.
    6. The Computer Center can help you with technical support.
    7. Problems in the dormitories? Discuss it with the Dormitory Council.
    8. If you don’t know who to contact, write us, the PhD Candidate’s Electronic Guide Team.

  12. Don’t lose track of the scholarship opportunities and requirements; everything is summarized in our Freshmen at PhD presentation.

  13. Do you need to change something during your doctoral studies? Contact your mentor, academic council, or Dean’s office. The change request form is here (in Czech).

FAQs for CURRENT DOCTORAL CANDIDATES

Below are answers to the most frequent questions asked by current doctoral candidates. Already enrolled candidates, please check: Frequently asked questions for prospective doctoral candidates.

New module E-doktorand and annual evaluation

Do any points from my previous master's education count?

Incoming doctoral students will not have their previous study results counted. Results will be counted only from the start date of their doctoral studies. This decision not to score results from the previous period is a logical step since the evaluation focuses on activities during the doctoral studies, and each student starts from a different position, often not entirely due to their own efforts. To partly compensate for the potential disadvantage for incoming doctoral students and also because the new system was announced later, there will be an extraordinary increase of 500 CZK per month in regular stipends until the end of 2023 for first-year doctoral students newly enrolled in IGA projects. Subsequently, everything will be adjusted with the new limits.

How are points calculated now?

All scored results are evaluated only after their completion. This has led to the unification of the previously inconsistent approach that was applied. For example, publications are scored only after their acceptance, internships after their completion, and points for thesis consultation after its defence.   

Therefore, points should be understood not only as recognition of the activity itself but also for its successful completion.   What to be aware of when entering the annual evaluation?

It's good to know that, unlike the previous system, the annual evaluation is entered as text, not as a PDF, and there is a limit of 6000 characters, including spaces.

How about pedagogy? How can supervision or consultation for final theses conducted outside of UCT Prague be addressed?

In the new evaluation, pedagogy has been almost entirely excluded, and this is not a mistake. The new evaluation focuses solely on assessing the scientific activities of doctoral candidates, which means it considers only scientific outputs (publications, conferences, patents, etc.) and activities leading to scientific results (consulting on qualifying works). Pedagogy is covered separately through a pedagogical scholarship, and there is a plan to introduce more levels for this. This should be resolved before the announcement of the IGA for the year 2024.

In the new evaluation system for the academic year 2022/23, I have fewer points than in the previous one, and as a result, I will fall into a lower category of stipends from the specialized IGA grant. Does this mean I will now receive a lower scholarship from the specialized IGA?

Since the change in the scoring system applies to all doctoral candidates, there will also be a recalculation of points for the distribution of scholarship from the specialized IGA grant in 2023. The new scoring system will bring completely new limits for increasing scholarship through specialized IGA projects. These limits will be determined before the new IGA announcement (i.e., before December 1, 2023). Each of you has different scoring values compared to the original system, but for most of you, it will not result in any changes concerning your placement within the relevant category of the specialized IGA project.

In the E-Doktorand module, I see some of my study obligations (subjects) marked as incomplete.

The system provider is aware of this issue, and work is underway to address it. However, this will not have an impact on the annual evaluation. Your supervisor and other authorized individuals can verify the fulfilment of study obligations, for example, in the “Výsledky zkoušek” (Exam Results) module. Additionally, it is recommended to mention the completion of study obligations in the comments section of the annual evaluation, which is uploaded to text field. 

In the E-Doktorand module, I cannot see my ISP (Individual Study Plan).

Please contact the relevant faculty administration, which will address the issue.

In the E-Doktorand module, I cannot see some of my publications that are present in OBD (University Research Information System).

In order for a publication from the OBD to be transferred to the E-Doktorand module, two conditions must be simultaneously met: a) the year of enrollment from DPS ≥ the year of publication in the OBD, and b) the author-doctoral student must be selected from the UCT directory. Therefore, if it concerns a publication from a bachelor's/master's study or if the doctoral student is enrolled under their name but is not selected from the UCT directory, the publication will not be transferred by E-Doktorand. In the latter case mentioned, it is necessary to contact the "Owner" of the record and request a correction. If the record has been recently added, it's necessary to wait for approximately a day until the synchronization between E-Doktorand and OBD takes place.

Are full papers in conference proceedings counted in the point-based evaluation?

These outputs (referred to as D_conference-proceedings-paper) are no longer evaluated for points in comparison to the original system.

In the E-Doktorand module, I see some of my publications/presentations/posters/patents, etc., multiple times.

The E-Doktorand module has been imported with data from both OBD and the old E-Doktorand system, which can lead to duplicated records. In such cases, you can use the "eye" icon in the left column to hide the duplicate entries. Hidden records will not be included in the annual evaluation.

I was the first author of an abstract, but someone else presented it at the conference. What should I do?

In such a case, contact the vice-dean for research and development at your faculty and inform them of the situation. Points in the annual evaluation are awarded only to the presenting author, and in the system, the first author is automatically considered the presenting author. The vice-dean will need to manually adjust the evaluation and allocate the corresponding points to the presenting colleague.

We presented at the conference as a team. How are points allocated in this case?

Points in the annual evaluation are awarded only to the presenting author, and in the system, the first author is automatically considered the presenting author. If you presented as a team, the vice-dean will need to manually adjust the evaluation and distribute the points among all the presenting authors. Contact the Vice-Dean for Research and Deevelopment of your faculty and communicate the information to them.

In the E-Doktorand module, the annual evaluations from my supervisor for previous years are missing/incorrectly labeled.

These data were imported from the old E-Doktorand system, so any error was already present in the source data. However, this has no impact on the current functioning of the annual evaluation and is not considered a problem.

In the E-Doktorand module, I cannot see a fellowship, or I am missing points for an fellowship.

The E-Doktorand module shows only completed fellowships, which means if a fellowship is entered in advance, it will be visible only after the planned completion date. The new system awards points for foreign fellowships if they last at least 3 months (90 days) continuously. This is meant to encourage longer international experiences, but it is not mandatory. A mandatory fellowship of 1 month (for full-time and part-time study in "new" study programs) can be obtained by combining shorter stays or, in extreme cases, by replacing it with other international activities of corresponding scope. Scoring longer felloships is also justified because during longer work in laboratories at another workplace, it is likely that fewer publications will be written, so it serves as a compensation for a possible decrease in the scoring. On the other hand, such an internship will undoubtedly benefit you not only in publications but also in your CV.

What does the criterion displayed in the E-Doktorand module correspond to?

The criterion displayed in the E-Doktorand module is calculated using the formula SB/(n+1), where SB is the sum of points obtained so far, and n is the current year in which the student is enrolled.

In the E-Doktorand module, I cannot see records of consultation for final theses (BP/DP).

Only those records of supervision or consultation for final theses that are listed in SIS (Study Information System) during its registration will be visible in the E-Doktorand module. If you were not listed as a supervisor or consultant in SIS, unfortunately, such an activity cannot be counted in your annual evaluation. It is also important to note that points for supervising or consulting final theses are awarded only after the theses have been defended by students.

How can supervision or consultation for final theses conducted outside of UCT Prague be addressed?

Unregistered outputs in the UCT Prague systems can be added using the "add obligation" button under the list of Obligation Overview. From the menu, you need to select the option "other." Subsequently, contact the Vice-Dean for Research and Development of your faculty and send them the materials confirming the output you have entered. After submitting the Annual Evaluation, this output will be scored for you

What awaits me during my studies?

What are my doctoral study responsibilities? When am I due to complete the requirements?

Doctoral studies are supervised by a formally-assigned mentor, always according to an individual study plan (ISP) approved by the faculty’s Scientific Council and the Faculty Dean. During the course of doctoral studies, the candidate must pass the required examinations in given subjects prescribed by the DSP and approved in the ISP.

Active participation in professional conferences in the Czech Republic and abroad is an integral part of the studies. Since the 2020/2021 academic year, doctoral candidates are required to go abroad for at least 30 days during their studies.

During their studies, every doctoral candidate must give a professional lecture in English at UCT Prague’s scientific conference for doctoral candidates.

At the end of each academic year, before a given deadline, all doctoral candidates are required to submit an annual progress report to their mentor via UCT Prague’s module E-doktorand in SIS. The deadlines are available in the E-doktorad after logging in.

Doctoral studies are officially concluded with a state doctoral examination and a public defense of the dissertation. The essential part of the state doctoral exam, which takes place prior to the dissertation defense, is a theoretical oral exam verifying your knowledge of the professional subjects. The exam consists of three thematic areas chosen in agreement with your mentor and related to your ISP. The dissertation defense is the professional component of the state doctoral exam used to verify professional competencies related to the completion of your own doctoral research. The exam takes place in the form of an extended debate after the dissertation presentation. To schedule your dissertation defense, you must submit a list of at least two co-authored scholarly articles, preferably in peer-reviewed academic journals (note that each UCT faculty may have different requirements, so be sure to check this far in advance).

It is assumed that doctoral candidates will pass the exams in all ISP subjects at the latest by the end of their second year of studies (this assumption is included in the regulation determining the amount of the basic doctoral stipends). Each doctoral candidate is also obliged, usually by the end of the second year, to participate in the academic conference for doctoral students. At latest by the end of the second year of studies, doctoral candidates must choose the three thematic areas for their state exams. You are expected to successfully complete the state doctoral examination by the end of the third year of your doctoral programme.

Graduation ceremony: when and where is it held? How many people can I invite?

The graduation ceremony for doctoral candidates only takes place once a year, usually in the second half of June, at Bethlehem Chapel, Prague 1. The number of guests, unless otherwise stated, is not limited.

What is the last date I can defend for inclusion in the annual graduation ceremony?

In order for a graduating candidate to be included in the doctoral graduation ceremony, s/he must defend her/his disertation by the end of the month preceeding the ceremony. That is, if the ceremony is scheduled for June, all graduates who defended their PhD thesis by May 31 are included.

I can’t attend the graduation ceremony. Where can I pick up my diploma?

By default, diplomas are issued to doctoral programme graduates at the graduation ceremony, where graduates also make a doctoral graduate pledge. Between a candidate’s successful dissertation defense and the issuance of the diploma at graduation, an “Addendum to the diploma” (in both Czech and English) and the “Decree on awarding the degree”, both issued by the Dean of the candidate’s Faculty, are usually sufficient documents for official purposes. In the event that these documents are not sufficient or if a graduate has other serious reasons for not attending the graduation ceremony or needs the diploma to be issued before the graduation date, diplomas are issued upon request and can be picked up upon prior agreement at the Research and Technology Transfer Department from Ms. Mgr. Veronika Popová.

IGA - Questions about student science projects

When is the scientific student project competition?

The competition takes place annually. It is announced at the end of November by the rector's decree "Announcement of the internal grant competition of the University of Chemistry and Technology, Prague" for a specific academic year. The application submission usually starts at the beginning of December, and the deadlines for submitting grant applications are in mid-January. The exact dates are specified in the current rector's decree.

When will I find out the dates of the upcoming IGA competition?

Every late November, the Rector's IGA Announcement for the coming year is published (hereinafter referred to as the IGA Announcement).  It contains all the dates and necessary information for the given competition year. The tender documentation for the IGA also includes the internal standards (“Principles of the student grant competition for the support of specific university research projects at UCT Prague”) and the “Grant Rules of the University of Chemistry and Technology, Prague”. Both documents are stored and accessable here. here. Each faculty also issues its own adjustments to the limits that must be met in the project proposal. More information can be found on the IGA faculty pages.

How is the value of the IGA criterion determined?

The announcement specifies the relevant date as 30/11, but this does not mean that results are continuously recorded until this date, and evaluations from unfinished assessments are taken into account. It is stated that the value of the criterion is determined at the end of each academic year, and throughout the year, it remains unchanged for the entire following academic year. By 30/11, verified and finalized annual assessments for the previous academic year are available for the majority of students. The academic year for most doctoral students concludes on 31/8, followed by an assessment process. In exceptional cases, some doctoral students finish their academic year a few weeks later, and if their annual assessment for the completed academic year is verified and closed by 30/11, their criterion may also be used in the IGA from January onwards.

Publications entered into the Research Outputs Database (OBD) after the end of the academic year will be automatically imported into the electronic student record for the new annual assessment for the next academic year after the system reopens.

When and how will I find out the results of the competition and the assessment of my project application?

The results are published according to the date in the IGA Announcement, typically by the end of February. Supported projects are then visible on this page , and their implementers, upon agreeing to the contractual terms of project implementation and signing the contract, will be informed of the order number (fund) from which they are allowed to draw financial resources for project implementation. Proposers of unsuccessful projects will find feedback on why the project was not supported directly in the information system under the submitted project

Can a PhD candidate from the Czech Academy of Sciences (AV ČR) apply for an IGA project?

According to Article 8 of the Grant Regulations, only full-time students or those from another research institution (a contractual institute under the valid accreditation of the Doctoral Study Program) can submit an application. However, at least 50% of the points earned for publication activity must come with an affiliation to the University of Chemistry and Technology, Prague (VŠCHT Praha).

What do I need to do to start drawing down funding for the project once the successful outcome is published?

To enable the disbursement of approved financial resources, it is first necessary to express acceptance of project implementation based on the email invitation. Upon the electronic acceptance of implementation by the proposer, a purchase order will be created for the successful project in the Financial Information System (iFIS). Afterward, it is necessary to sign the Contract on the Conditions of Implementing the Student Scientific Project IGA, and from that moment on, the implementer can start drawing financial resources.

Can a student with a training institute of the CAS be included in the IGA project?

According to Article 8 of the Grant Regulations, only a student of the UCT, PragueVŠCHT s can submit an application, possibly also from a contractual research institute (e.g. CAS), but at least 50% of the points obtained for publication activity must come with an affiliation to the VŠCHT Praha.

Can an external researcher without a full-time position at VŠCHT be included in the research team of a research project?

The principal investigator's supervisor is the only case when an external researcher without full-time employment at the UCT, Prague can be included in the research team.

It is my understanding that when an inter-faculty application is submitted, the project is judged according to the rules of both faculties. But what about the limits on the maximum amount of funding? Should the funding of the project then be based on the limits of the faculty that has lower limits, or is the funding assessed from the perspective of the faculty of the principal investigator?

The Principal Investigator will submit the project to his/her faculty so that it meets all of their constraints. The student is obliged to familiarise himself/herself with the binding regulations of his/her faculty, and in the case of inter-faculty research projects, of both faculties, and to follow them. In particular, the guidelines for planning stipends and salary costs according to the regulations of the faculties of the respective researchers must be followed. Other items should be planned according to the regulations of the proposing faculty. The proposer is required to inform the chairs of the faculty grant committees of all participating faculty, send them the projected costs of the project, and seek their written approval to submit an interfaculty project before submitting the application.

What do I have to do in order to be able to start withdrawing funds for my project after the award was announced? (Note: next year the process will be different, with electronic acceptance of the implementation materials and approval of the contractual terms)

The project’s principal investigator must first sign the contractual terms (“Agreement on the conditions for the completing a student scientific IGA project”), upon which s/he will be given the project’s financial operation number in the UCT financial information system (iFIS), which enables her/him to start withdrawing the approved funds.

When and where can I find out the number of the fund (account) from which I can draw funding for the project?

The fund number (iFis purchase order number) will be specified in the contract.

Can PhD candidates enrolled in English DSPs also submit IGA proposals?

Yes, if they are a full-time UCT Prague students meeting the conditions of Article 8 of the Grant Regulations.

Can a UCT-non-affiliated researcher also be included in an IGA project team?

No. Only supervisor/mentor of a student project’s principal investigator who works at an accredited institution that has a contract with UCT Prague can be included on the IGA project team. According to Article 8 of the Grant Regulations, IGA applications can only be submitted by full-time UCT Prague students, including those from other research institutions who have a contract with UCT Prague (i.e. a DSP training accreditation)—assuming that at least 50% of the points earned for publication activities come from the research papers in which the applicant is explicitly affiliated with UCT Prague.

It is clear to me that when submitting a cross-faculty IGA application, the project proposal will be assessed according to the rules of both UCT Prague faculties. But what about limits regarding the maximum amounts of co-investigators’ compensations? Should project funding be governed by the limits of the faculty with lower funding limits, or should funding be assessed from the perspective of the principal investigator’s faculty?

The principal investigator submits the project proposal to her/his Faculty in such a way that it meets all its limits. If the co-investigator is from another Faculty, her/his compensation shall be planned within the same proposal in such a way that it meets the funding limits of both Faculties. In the same way, salary adjustments/compensations for the supervisor or/and consultants of such a co-investigator (if they are to be included in the project) should be planned in such a way that they comply with the rules of both Faculties. Both Faculties will then assess the project.

It should be stated in the project proposal how the funding will be allocated, i.e. if operating funds will be needed for the co-investigator's faculty and how much.

Is it possible to write the project proposal for a student research project in English? If so, in which language should the annotation be written?

Yes. The IGA Declaration, paragraph 3.1., specifies that the project application, together with the project description, is submitted electronically by the principal investigator either in Czech, Slovak, or English. The annotation is part of the application, so it is in the same language as everything else.

If the principal investigator of the research project is in their fourth year of doctoral studies, should they specify in advance, i.e. in the description of the project, the doctoral candidate who will take over the role of the principal investigator in the upcoming September, or can a fifth-year doctoral student stay on as principal investigator?

If the faculty sub-announcement/faculty IGA binding rules do not preclude a 4th year student from submitting a project, then yes, the project description should identify the student who will assume the role of PI in September.

If second-year Master students are to be part of the project team, is there a lower compensation limit for them?s

This reduction of the compensation limit is not prescribed by the university-wide IGA Announcement. However, you must familiarize yourself with your Faculty’s internal binding rules, where such a reduction is usually established for second-year Master programs students. The principal investigators must familiarize themselves with these internal Faculty rules and proceed in accordance with them, since they are binding as well, according to the IGA Announcement.

If I am the principal investigator (PI) of an IGRA@UCT (Internal Grants Reinforcing Activities) project and, at the same time, am a UCT Prague employee as 0.5 FTE (full-time employement), meaning my total is 1 FTE. Am I still elegible to submit also an IGA project as the PI or as a co-PI?

For IGA projects, working hours and working capacity are not counted. Therefore, FTE concerns are not an obstacle for submitting an IGA project proposal. One must only ensure that the topic of the projects does not fundamentally overlap (see the IGRA Principles and Declaration, Czech only) since “double dipping” is prohibited for the entire duration of an IGRA project.

Where can I find instructions for principal investigators? (e.g. financial management instructions)

Instructions for researchers are available here (in Czech). Financial management principles (“Pravidla hospodaření”) and the necessary forms as well as a presentation from the Finance Department with all the details for IGA projects are available here (in Czech).

How to proceed in the event that the principal investigator of an IGA project quits her/his studies before the project is completed?

If the principal investigator decides to end his participation in the project for any reason, a request for a change in the project must be submitted. A change of principal investigator can be requested by submitting the form Proposal for a change of investigator in a student scientific project for approval by the Faculty Grants Committee. You can find the form in MIS - Grants and projects - on the project line under the icon Actions - Forms - Proposal for a change in the project. In the event of an approved change of principal investigator, inform the contact person of the department for science and research (Mgr. Veronika Popová).

If, as a doctoral candidate, you enter the results into the OBD and terminate your tenure at UCT, Prague, transfer ownership of the OBD results to your supervisor so that any incomplete or incorrect entries can be supplemented/corrected.

Can the project be terminated prematurely? If so, does the principal investigator have to submit a final report?

The project can be terminated prematurely only in completely unforeseeable, exceptional cases. According to the IGA Announcement, a principal investigator is obliged to complete the project within the specified duration of one year.

If the project must be stopped early, the principal investigator is required to apply for approval from her/his faculty’s Grants Committee  (using the :Návrh na změnu v projektu” form) and then submit the final project report.

How to proceed if I need to make changes in the project team?

You can make the change by submitting a Proposal for Change to the Chair of the FGK. The proposal form can be found in MIS - Grants and Projects (GaP) - under the Actions button for your project - Forms.

We recommend that the form be signed not only by the principal investigator but also by the newly proposed member of the project team. Submit the form for approval to the chairman or administrator of the FGK at your faculty. In the case of a change in the principal investigator, it is necessary to inform the contact persons at the Department for Research and Technology Transfer (Mgr. Veronika Popová). Once the form is approved, you will then upload it into the system, and no further action is required.

Is it necessary to apply for a change in the allocation of funds for services, materials, and travel expenses?

No, there is no need to apply for approval of reallocation of expenses for the individual sub-components of operating costs, if the overall operating amount stays the same. The description of such changes and a financial overview are part of the final project report.

How to proceed in traveling for an IGA project?

The use of travel expenses funds varies depending on whether a university employee (having an employment relationship with UCT Prague) or a student is traveling. Everything is described in detail in the Financial management Rules (“Pravidla hospodaření”, in Czech).

When and how do I submit the final project report?

The deadline is set in the current IGA Announcement. The details are found in the internal UCT Prague’s standard “Principles of the student grant competition for the support of specific higher education research projects (Article 7)”, and also in the final report form, which is adapted to the IGA final reporting requirements. More internal instructions for submitting final reports can be found here (in Czech only). Starting in 2023, it will be possible to generate the final report form directly in the information system and to submit it electronically for approval by the pertinent Faculty’s Grants Committee.

How to provide acknowledgments for IGA research projects in articles and other research outputs? How should I write them?

When reporting the results generated within the IGA project, it is always necessary to add financing type S – Specific research in the OBD.

ENG: “This work was supported from the grant of Specific university research - grant No fill in the project application number from IGA (e.g. A2_FCHT_2020_123)”. A Czech version is here.

Acknowledgements are not required for the pedagogical (PIGA) and social (SIGA) projects.

Incomplete records in OBD need to be handed over to another researcher in case of planned termination of studies.

The E-doktorand evaluation system

What is the “E-doktorand” evaluation system and what do I get points for in it?

At the end of each year of study, doctoral candidates are required to submit an annual progress report on completed exams, research publications, and other outputs of doctoral research work (together with any pedagogical and academic activities) to the “E-doktorand”, the UCT Prague online evaluation system.

When can I start adding annual evaluation info into E-doktorand?

You can start adding information into the system six months before the end of the academic year upon an automatic notification is sent to your UCT email. This long opening period is because some PhD candidates want to record data continuously. If there are any technical problems, the editing period can be shortened by opening the form later. You will receive an automatic notification.

When is the deadline for completing and submitting my annual progress report?

It must be completed and forwarded to your supervisor/mentor for evaluation one month before the end of the academic year.

Do I have to fill out an annual progress report as an incoming doctoral candidate?

Yes, the annual evaluation applies to all PhD students, including incoming doctoral candidates, who shall simply describe their previous studies, publications, international experiences, and conference attendance—everything that should be mentioned in the first annual progress report.

I have already submitted my annual progress report, but I would like to add publications. Can my annual report be edited?

Yes. All you need to do is to contact your supervisor/mentor or the Chair of your Faculty’s Scientific Council and ask them to return it to you for revision.

And what about the eventual addition of a research paper accepted for publication after I already completed and submitted my annual progress report but before I’ve registered for the next year? Is it still possible that it can be added and evaluated?

In this case, contact the Vice-Rector for Research and Development.

The “Send to supervisor for evaluation” button doesn’t appear in the E-doktorand evaluation system, which (according to the instructions) should be there.

Be sure to first fill in the form and insert or upload your progress report (either a text or a PDF file with your annual self-evaluation). After uploading the document to the system, a button should appear.

I received an email stating my ISP has been returned to by the Chair of the Faculty’s Scientific Council. How should I proceed?

The Scientific Council’s Chair, as well as your supervisor/mentor, always adds a message describing why an ISP or annual progress report is returned for revision. Follow the instructions. Alternatively, contact the Scientific Council’s Chair or your supervisor/mentor for clarification.

I was already enrolled in doctoral studies and when logging into the E-doktorand I see the following message: “You do not have an assigned role”. What should I do?

After enrolment, you should have access to the E-doktorand evaluation system. If you have access problems, be sure to log out with the logout button and then log in again. If the problem persists, contact the E-doktorand helpdesk. It may happen that you are not registered in the UCT Prague study system, meaning you might not yet be registered as having access to the E-doktorand evaluation system.

I have just started my doctoral studies, but I would still like to change my ISP at the request of my supervisor. How do I proceed in this case?

If you have just started and your ISP has not yet been approved by your Faculty’s Scientific Council, please ask your supervisor/mentor to send the ISP back to you (there is a "Return to student" button for this). You then change the courses in your ISP and resubmit it to your supervisor.

If your ISP has already been approved, the only way to change it is to make an official request to do so using the appropriate form, which you can obtain in your Faculty Dean's Office. After the form has been approved by all the appropriate parties, the Dean's Office will enter the changes into the IS Student application and these will be sequentially propagated into the E-doktorand evaluation system. Unfortunately, customized ISP editing function is not yet available in the E-doktorand evaluation system.

Is it necessary to enroll in all courses (including electives) for the duration of my doctoral studies already at the beginning of the first year? Can changes be made later?

Yes, for mandatory courses (this is your compiled ISP, which must be approved by your faculty’s Scientific Council). Changes can be made, but must always be approved by the Scientific Council as an ISP modification. Do not enter elective courses that are not required by the Scientific Council when you do your ISP.

Is it possible to register more mandatory courses than required and later cancel some?

In principle yes, but again, this must be approved by the Faculty’s Scientific Council as an ISP modification. So it's a good idea to plan realistically in your ISP.

Is it possible to delete a course from my ISP that I no longer want to complete?

It is possible, but it does not happen automatically (there is no “entitlement” to such changes).

You must submit a request to cancel the course and state why. This request must be signed by your supervisor/mentor, the head of your department, and the chair of your PhD Study Board.

Other obligations and opportunities

Do I have to go abroad in order to complete my doctoral studies, and for how long?

Yes, fulfilling a part of your doctoral study requirements abroad is obligatory (it has been since the 2020/2021 academic year). The minimum time for doctoral study/research-related stays abroad is 30 days. The 30 days do not have to happen at one time and they can be accumulated with international conference attendance or with a series of shorter study/research-related stays. This obligation can also be fulfilled by direct participation in an international project or work with an international research group, if the results are published in an international journal or presented to the international academic public in another way.

Are there any activities at UCT Prague not related to doctoral studies?

There are many options. Start by learning about student activities at UCT Prague that you can participate in. Options range from active involvement as a student in the Academic Senate to various cultural and artistic clubs and groups. If you want to form a new group or club, you are welcome to submit a registration here.

Can somebody help me with writing articles or dissertation?

The Department of Languages organizes Effective Scientific Writing for PhD students courses, where they will show you how to write scientific articles.

Livelihood (everything regarding finances)

Will I still be entitled to student discounts/benefits during my doctoral studies? What kinds?

You will have student status for the entire duration of your doctoral studies, but you can only renew your international student identity card (ISIC) while you are studying full-time (usually for four years from the start of your doctoral studies). Note that many discounts and benefits are capped at 26 years of age and you need to check this with each discount provider. For example, public transportation discounts can be used during doctoral studies, but usually only up to the age of 26. Up to the age of 28, you can apply for discounts when filing your tax return if you are a full-time doctoral student. Nonetheless, some discounts have no age restrictions.

If I don't have a side job, will I have to pay for health and social security myself?

Starting 1 January 2018, a change in Czech Act No. 48/1997 Coll. came into effect, which decrees that if you are studying in your first doctoral programme full-time, Czech national health insurance is covered for you by the state. But only if you don't have any employment aside, then Czech national health insurance is paid for you by your employer according to a calculation based on your employment contract, i.e. how much you work part-time.

Over the age of 26, you are required to report to the Czech health insurance company (“Všeobecná zdravotní pojišťovna“, abbreviated as “VZP”) the fact that the state is paying for your insurance on the basis of your doctoral studies. UCT Prague should report this for you, but it is a good idea to double-check with your Dean's office or with your health insurance company directly. 

If you end your side job (at UCT Prague or anywhere else) during your full-time doctoral studies, you must report this personally to your health insurance company. The insurance will then (if the conditions in the first paragraph are met) be again paid by the state.

By the way, most health insurance companies now offer policyholders electronic access to their data (similar to internet banking) so you can check what data and payments the insurance company has on record for you.

Paying social security insurance is not obligatory, assuming that you are enrolled in a full-time doctoral programme and you don’t have any side job (but you can voluntarily pay for it) and you do have to report anything anywhere. If you get a side job during your studies, social security insurance will be paid for you by your employer.

Can I still live in the dormitories even as a doctoral candidate?

Yes, during your doctoral studies, you still have student status and you are entitled to live in the dormitories at a discounted price.

How much is the basic doctoral stipend? What other stipends are available?

The basic doctoral stipend is 7,700 CZK/month. If you are engaged in teaching activities, an additional 3,500 CZK/month will be added to this amount. Your basic doctoral stipend may be reduced if you do not fulfill your individual study plan, as determined by UCT Prague internal regulations (see Determining the amount of the basic doctoral stipend, in Czech).

For the calendar year of 2023 the basic doctoral stipend has been raised by 2,900 CZK/month effective from 01.06.2023. Only PhD candidates satisfying the criteria stated in the Rectors decree (in Czech). These are:

  1. The student is at the time of enrolment part of the solver team of A1 grant of the Internal Grant Agency and is in their 1st year or in the 2nd to 4th year. If the latter applies, the student needs to the criterium in the yearly report grater/equal to 2.00 as of 30.11.2022.
  2. The student is in a given month part of the solver team of a running A1 grant of the Internal Grant Agency.
How many hours do doctoral candidates work? Will I be entitled to vacations or holiday pay?

Doctoral candidates work 40 hours per week, and you are entitled to 30 days of vacation. Working hours can be adjusted upon agreement with your supervisor/mentor.

Enrollments are conducted according to the instructions of the dean's offices, and the study of DSP typically begins on September 1, or as agreed upon with the supervisor and the faculty study secretary. If there are changes in the information provided in the study application or during enrollment during the course of the study, it is the student's responsibility to report the changes promptly to the faculty's dean's office.

Every user of the computer network at VŠCHT Prague has their own username and password, which they use to access VŠCHT Prague's network services. Students will receive information on what their login should look like when enrolling in the program. Upon the first login, changing the user password is required (more information is available on the Computing Center's website).

It is essential to complete occupational health and safety (BOZP) and fire protection (PO) training as soon as possible. Discuss with your supervisor what additional training your work may require (e.g., electrical safety in electronics, pressure vessels, stable pressure containers, training for drivers of vehicles up to 3.5 tons). Furthermore, it is necessary to fill out personal information in the SIS (Student Information System) as soon as possible, and, in agreement with your supervisor, complete an individual study plan (ISP) in the e-doctoral student module within the SIS.

The study plan should be filled out in consultation with and based on the recommendations of your supervisor. Students are required to choose at least four study subjects and provide a preliminary schedule for their completion, as well as a planned date for an English conference presentation.

 

Conditions of Study in Doctoral Study Programmes

The framework Conditions for study in DSP, as determined by the departmental councils at individual faculties, including information on the number of mandatory-elective subjects from modules A and B, are provided in the documents at the end of this page.

A more precise description of how to register for mandatory-elective subjects in the ISP in the e-doctoral student module within the SIS will be published soon.

Newly enrolled doctoral students electronically complete their study plans in the SIS in the e-doctoral student module. Newly enrolled doctoral students will receive clarification on this information immediately after enrollment at the latest. The deadline for submitting the completed ISP in the SIS for those students enrolling at the beginning of September is typically September 20, with the deadline for supervisor approval following shortly after the student's deadline (usually September 30). Therefore, data entry and approval should be coordinated accordingly.

New system for the original E-Doktorand

In the context of the Annual Evaluation (and all future ones), scientific and educational outcomes are automatically imported into the new system from other applications/modules. Specifically, scientific outputs come from the OBD database, and educational outcomes (including consultations for final projects and foreign scientific stays) come from SIS.

You have to insert: 

  1. Your achieved scientific results since the last Annual Evaluation, and
  2. All completed scientific stays abroad during your doctoral studies.

Other results will be automatically imported, and there is no need to insert them elsewhere.

In the time when the annual evaluation is approved by the dean or vice-dean acting as the dean, the evaluation is "locked," and it is not synchronized any further. The fact that the evaluation is "locked" can be inferred from the Evaluation Status, where the status "approved" is visible. See the picture below.

Synchronization will be enabled again when the annual evaluation is open for recording assessments, which will be announced to doctoral students by automatically generated email (several months before the anniversary of the start date of the PhD studies). In the meantime, it is possible to view exam results in the Exam Results module, and scientific outputs entered into OBD can be seen directly in OBD.

Regarding A):

The OBD system is available only in Czech. Therefore, if you do not understand Czech, please ask your supervisor for assistance. The instructions are provided above in the Czech version of the email.

Regarding B):

Please enter your scientific stays abroad (internships, conference participation, etc.) throughout your entire doctoral studies using the “Evidence stáží” (Fellowship Registration) module, which can be found in the SIS application under the “Pomůcky” (Tools) tab. In the case of conference participation, select the internship type as “jiná forma stáže” (another form of internship). In the “Poznámka” (Note) field, specify the type of stay (e.g., the name of the university for an internship or the name of the conference). It is obligatory to upload signed Confirmation of Stay (in the module Fellowship Registration). Without this document it is not posible to save the record.

The deadline for submitting the Annual Evaluation is given by the "Manner of and Deadlines for Submission of Documents for Annual Assessment and Report on Results of Scientific and Professional Activities of DSP Students". (at least 30 days before the end of current year of study).

Comments for the annual evaluation are now entered as plain text with a limit of 6000 characters, including spaces.

If there are any changes in any of the evaluated categories (e.g., passing an exam, new publication/patent) between the submission of the annual evaluation in SIS and the end of the academic year, please request the responsible person to update this information in the relevant system (exams-SIS, publications/patents-OBD) and request a re-evaluation. The supervisor will then need to approve the updated evaluation again and submit it to the head of the departmental board. The attachment with the textual message does not affect the actual scoring; however, when requesting an update of the annual evaluation, it is possible to update this textual message as well.

Study content

Doctoral studies are conducted under the guidance of a supervisor, always according to an individual study plan (ISP) approved by the Doctoral Study Board and the Dean. The ISP prescribes the study subjects, sets the dates for taking exams, specifies the topic for the systematic solution of a specific scientific task in the field of research or development, which is to be completed by preparing and defending a doctoral thesis. It also outlines at least three thematic areas of the comprehensive part of the state doctoral examination (for more information, please see the Completion of doctoral studies), and may also prescribe additional domestic and international studies.

Upon agreement with the head of the educational department, doctoral candidates can also participate in pedagogical activities at the University of Chemistry and Technology, Prague. The workload related to educational activities (such as leading exercises, laboratories, advising bachelor's and master's theses) must be carefully determined by the doctoral candidate after consulting with their supervisor, taking into account the demands of their doctoral projects.

Working hours

In the case of full-time attendance-based doctoral studies, a doctoral candidate in the Doctoral Study Program (DSP) at UCT Prague is expected to dedicate 40 hours per week to their studies and, if applicable, engage in scientific and pedagogical work at UCT Prague, unless otherwise agreed upon with their supervisor. Doctoral candidates have the opportunity to apply for a stipend from UCT Prague's funds, its faculties, DSP providers, or other sources.

A doctoral candidate is entitled to 30 working days of vacation during the academic year, subject to approval from their supervisor and with the option to carry over unused vacation days or portions thereof to the following academic year.

Attendance records, whether for the doctoral candidate or colleagues, can be monitored in the Infsys system (Attendance Recording or Presence Verification). Leave, personal days off, or study-related absences (such as work conducted outside the school premises) should be recorded in the OKBase system in the case of employment.

Access to UCT Prague's buildings is possible on weekends, public holidays, and during nighttime hours. However, doctoral candidates must inform the receptionist and provide written approval from the head of the respective department to do so.

Term of study

The standard duration of doctoral studies is a minimum of three years and a maximum of four years, as determined in the decision on the accreditation of the Doctoral Study Program (DSP). The maximum duration of doctoral studies in DSP can be extended by three years, after which the doctoral candidate loses eligibility for a stipend, and their full-time studies are changed to part-time studies. The time during which a doctoral candidate's studies were interrupted for reasons outlined in Article 12, Paragraph 6 of the Study and Examination Regulations (SZŘ), such as health-related reasons or parenthood (please refer to the documents section for precise details), is not counted towards the standard or maximum study duration. There are currently no restrictions on the validity period of completed examinations in the existing regulations.

Conditions of Study

Each faculty has its specific conditions and requirements for studying, you can find them in documents section at the bottom of this page. 

Study Obligations

  1.  Fulfillment of subjects (typically 4) as specified in the approved Individual Study Plan (ISP). The selection of subjects may vary depending on the study programs. A doctoral candidate in the Doctoral Study Program (DSP) demonstrates the completion of the study part of the ISP by passing exams, with the results recorded by the examiners in the study report ("passed" or "failed").
  2. Fulfillment of the requirements set by the department study board (as mentioned in the previous paragraph).
    1. In general, to be eligible for the defense of a doctoral thesis, it is necessary to submit a list of at least two co-authored articles, preferably in peer-reviewed, impact-factor journals (as specified by the requirements of individual department councils).
    2. It is required to continuously or at the beginning of the calendar year (no later than the end of February) input all publication activities into the electronic database of research, experimental development, and innovation results (OBD). Each doctoral candidate must inquire whether they need to enter the results into the OBD system themselves or if a designated person at their department is responsible for this task.
  3. English Conference
    1. Every doctoral candidate in the Doctoral Study Program (DSP) is required to participate in a scientific conference for doctoral candidates at UCT Prague during their studies, typically by the end of the second year, and deliver a professional presentation in English.
    2. The professional and language level of the presentation and discussion is evaluated by a committee appointed by the dean. In case of a "failed" evaluation, a doctoral candidate may retake the requirement no sooner than 4 months later, and a maximum of two retakes are allowed.
    3. The specific date and application requirements for the professional presentation are determined and adjusted by each faculty separately. You can find the application form in the documents section, or you can inquire at your faculty's dean's office for details.
    4. At the Faculty of Chemical Engineering (FCHI), this requirement can be replaced by delivering at least a 10-minute presentation in English at an international conference. An application must be submitted, and you can find more information on this here.
  4. State Doctoral Exam
    1. The core part of the state doctoral examination (SDZ) is a theoretical oral examination that assesses the doctoral candidate's knowledge of specialized subjects. This part of the examination is typically taken in the year preceding the defense of the doctoral thesis (usually in the 3rd year of study).
    2. The core part consists of three thematic areas, which the doctoral candidate selects in agreement with their supervisor and in line with their Individual Study Plan (ISP). Thematic areas need to be specified both when filling out the assessment in the e-doctorand system (typically after the 2nd year) and in the application for the core part of the SDZ.
    3. A doctoral candidate can only take the core part of the SDZ after passing all the exams in the ISP and participating in the English-language conference.
    4. The application must be endorsed by the supervisor and submitted to the relevant dean's office, which will inform the doctoral candidate of the examination date no later than 1 month before the examination.
    5. The core part of the SDZ should not exceed a duration of 1 hour, and, with the agreement of the examination committee, it can be conducted in Czech, Slovak, or English.
    6. The results in each thematic area within the core part of the SDZ and the overall result of the core part, as well as the result of the final part of the SDZ, are expressed as "passed" or "failed."
    7. The assessment of the SDZ by the examination committee is non-public.
    8. If the result in one or more thematic areas of the core part of the SDZ is "failed," the overall result of the examination is also "failed," and the doctoral candidate must retake the entire core part of the SDZ. A doctoral candidate has the right to retake the core part of the SDZ only once, but not sooner than 3 months after an unsuccessful attempt.   5. Foreign internship/experience.
    1. An integral part of the study obligations is the completion of a study stay at a foreign institution for a minimum of one month. This requirement can also be fulfilled through a series of shorter professional stays, the durations of which are cumulative.
    2. This study obligation can also be fulfilled by direct participation in an international project or work in an international research group, provided that the results are published in an international journal or presented to the professional community abroad in another manner.
  6. Doctoral candidates may engage in pedagogical activities as part of their studies. For this purpose, the Faculty of Chemical Engineering (FCHI) has issued a decree by the dean (see the documents section at the bottom of the page).
  7. The fulfillment of all study obligations and the obtained results (such as publications, patents, conference participation, etc.) are entered annually into the e-doctorand system as part of the annual evaluation.
    1. At the end of each academic year (no later than 30 days before the end of the current academic year), a doctoral candidate is required to submit an annual report to their supervisor through the e-doctorand module.
    2. Attention! The point-based evaluation affects the amount of the stipend received, so it is important to pay attention to filling out this form and to attend to the prescribed activities and obligations throughout the year.     3. Failure to meet the deadline results in a point-based evaluation of 0 for the doctoral candidate, and the matter is further addressed with the supervisor and the Vice-Dean for Research and Development of the respective faculty.

    Changes During the Course of Study

    Change of Supervisor

    When changing a supervisor, it is necessary to reach an agreement with both the current and the newly proposed supervisor. If both parties agree, the doctoral candidate submits a request to the dean's office of the respective faculty, which is then confirmed by the current and the newly proposed supervisor, the head of the department, and finally the dean of the faculty. The request and further information are available at the faculty's dean's office.

    Change of Disertation Topic

    A change of the dissertation topic should ideally occur within two years of starting the DSP. However, minor adjustments or refinements to the topic can be made later during the writing of the dissertation. To change the topic, a request must be submitted, available again at the dean's office in the student affairs office. When requesting a change, besides the old and new topics, the reason for the change should be included. The supervisor, the head of the department, the department council, and the dean of the faculty also provide feedback on the request.cessary to provide, in addition to the old and the new topic, the reasons for such change. The supervisor, the head of the supervising department, the PhD Study Board and the Dean then provide their opinion on the change. 

    Change of Study Form

    A full-time doctoral candidate, whose standard study duration has expired and who has not yet completed their studies, can request to transfer to part-time study, or if their studies are completed (Article 14, Paragraph 2 of the SZŘ - see the documents section). The decision to transfer studies from full-time to part-time is made by the dean based on a well-reasoned written request from the doctoral candidate. Request for Transfer from Full-Time to Part-Time Study (see the documents section).

    Study Suspension

    The decision to suspend studies is made by the dean based on a well-reasoned written request from the doctoral candidate. Reasons for study suspension by the doctoral candidate include, but are not limited to:

    • Health reasons,
    • Social and economic reasons
    • Pregnancy, childbirth, or parentship
    • Representing the Czech Republic in a sport or preparing for such representation
    • Other serious personal or family-related reasons,
    • Cases deserving special attention

    The maximum total duration of study suspension is the time that, when combined with the actual study duration, does not exceed the limit of the maximum study duration. In the case of a doctoral candidate, study suspension can be granted at any point during the study after submitting the study report, with feedback from the supervisor and the head of the educational department. Feedback from the supervisor and the head of the educational department is not required for a request for study suspension due to reasons listed in Article 12, Paragraph 2, Letters a) and c). For more details, refer to Article 12 of the SZŘ. Study suspension during the standard study duration reduces the period of stipend payments. The standard study duration is not extended by the duration of study suspension, except for study suspensions according to Article 12, Paragraph 6 and 13 of the SZŘ (health reasons and parenthood - see the documents section).

    Proper completion of study

    A study in the Doctoral Study Program (DSP) is properly concluded with a state doctoral examination (referred to as "SDZ") and a public defense of the doctoral dissertation. The SDZ consists of two separate parts: the basic part, which assesses theoretical knowledge in specialized subjects, and the final part, which evaluates specialized knowledge related to the implementation of the doctoral candidate's own research work. The date of completion of the study is the day when the SDZ is conducted and the doctoral dissertation is publicly defended. Graduates of the DSP program are awarded the academic title of "Doctor," abbreviated as "Ph.D." placed after their name.

    Dissertation thesis and Defence

    The final part of the SDZ is the professional component of the SDZ, which serves to assess specialized knowledge related to the implementation of the doctoral candidate's own research work. The examination is conducted in the form of an extended public discussion after the submission of the doctoral dissertation. The doctoral dissertation can be submitted in Czech, Slovak, or English, and exceptionally, with the prior consent of the Dean and the Departamental Board, in another world language. Rules for submission, content, format, and publication of doctoral dissertations are specified in the internal document "Pravidla pro předkládání a zveřejňování dizertačních prací na VŠCHT Praha" (see the documents section), and in the case of non-public doctoral dissertations, in the internal document "Pravidla pro obhajoby, uchovávání a zveřejňování neveřejných závěrečných prací na VŠCHT Praha" (see the documents section).

    Announcements regarding the defense are always published on the website of the respective faculty. (FCHTFTOPFPBTFCHI).

     

    The components of the application include:

    1. Signed copies of the doctoral dissertation (in the number specified by the instructions of the Dean's Office), securely bound. Utilize the cover generator on the Intranet of UCT Prague → Final Theses (information for doctoral candidates) → Guidelines for the preparation, printing, and submission of the doctoral dissertation.
    2. A list of all published works by the doctoral candidate in printed form (signed).
    3. A structured curriculum vitae in printed form (signed).
    4. A copy of the university diploma if it had not been submitted during enrollment.
    5. The supervisor's opinion and their statement regarding the doctoral candidate's international experience, or the doctoral candidate's participation in an international team, if relevant.
    6. The head of the training department's opinion on the doctoral dissertation.
    7. 5 copies of the theses, as determined by the faculty's decision.

    In the case of a negative assessment of the doctoral dissertation by two or more opponents, the chairman of the committee shall inform the Dean, who will suspend the proceedings. The Dean will set a deadline for the resubmission of the revised doctoral dissertation, which will be sent to the opponents for reevaluation. If the assessment of the revised doctoral dissertation by two or more opponents remains negative or if the applicant does not submit the revised doctoral dissertation within the specified period, the proceedings will be considered as concluded with a "fail" grade for the defense of the doctoral dissertation, and the study will be terminated. In the case of a "fail" grade for the defense of the doctoral dissertation, the defense can only be repeated once. The proceedings for the defense of the doctoral dissertation and the study may be suspended for the necessary period for revising the doctoral dissertation, but not beyond the date specified by the Dean.     It is recommended to ask about possible work engagement already during the interview for admission to DSP (doctoral study programme).  PhD students may obtain during their studies a partial or full time employment in the researcher position (vědecký pracovník) – V4 (according to the salary tariffs).

    Grant employment

    This type of employment is possible if the student´s work group is engaged in some type of grant during his/her studies.  (See GRANTS).  ). It is recommended to ask before the start of doctoral studies if the work group of which you´ll become member is involved in any grant and if you could be involved in the work as well. If a student involved in a grant has reached 26 years of age, engagement of up to 0.15 % FTE will cover, at most, the expenses related to tax payments. A grant employment may be provided together with a researcher employment, or it can be solved in the form of an agreement on performance of work (Dohoda o provedení práce – DPP).

    Supplementary economic activity ("VéHáčko" )

    A DSP student may work on a task of the so-called basic supplementary activity, which is a paid activity linked to educational, research, development and other creative activities of UCT Prague and aiming at more effective utilization of human resources and assets of UCT Prague.    Such work is performed by employees outside the scope of their work obligations and the employees receive bonuses for it. Students of UCT Prague, or other persons who do not have an employment relationship with UCT Prague, perform supplementary activities on the basis of agreements on work performed outside employment relationship. Employees are authorised to work on tasks of basic supplementary activities by their line manager, students are authorised by the respective head of department.

    The work and services performed as basic supplementary activity are agreed between the project manager and the ordering party based on a written or oral order (see the Order template below). The order is entered in the school system by authorised employees of the   Department of Keeping Records on Supplementary Activity (Oddělení evidence doplňkové činnosti), to whom you need to send the order electronically and provide the information about which category of supplementary activity is concerned. Once that is done, the task is included in MIS – Hlavní a doplňková činnost (Main and supplementary activity), where accounting needs to be done in due course (to be done by the researcher – the manual is available below or on the website of MIS- Hlavní a doplňková činnost (Core and supplementary activities).

    To calculate the price of the work performed within the basic supplementary activity, the responsible researcher proposes assignment of the provided service to one of the following categories:
    1.   Scientific and research works, servicing services, analyses, etc., utilizing the equipment of UCT Prague, and printing activities,
    2.  Consulting and advisory activities. Category II may be chosen only for such works whose performance does not require any apparatuses or equipment except for a computer as a word or spreadsheet processor.

    • These outputs will be provided as Open Educational Resources through an online platform, the DocEnhance Platform. This platform will function as: a comprehensive, user-friendly and equal access point for transferable skills intelligence and training in research education and secondly a community and networking site with non-academic partners. It is designed to live beyond the project lifetime.
    • The course on Data stewardship has been developed by the UiT – The Arctic University of Norway in Tromsø renowned for its expertise in research data management. The course was first piloted at the University of Chemistry and Technology, Prague in May and June, 2021 and in the spring of 2022.

    Three pilot courses on Transferable skills

     

    UCT Prague and DocEnhance 

    UCT Prague was in charge of WP2 Course concept and design and the implementation of Data Stewardship. The aim of WP2 was to optimize the course content and design. Rector of the UCT Prague, prof. Pavel Matějka, was responsible for two deliverables in WP2: Task 2.1 Develop a recommended curriculum for integration of transferable skills in PhD programmes and Task 2.2 Collect and index existing online courses in transferable skills. Both of those deliverables were submitted in June 2022.

     

    Data Stewardship at UCT Prague

    UCT Prague had a chance to pilot two rounds of Data Stewardship course in the spring of 2021 and 2022. The first round took place online due to the pandemic of covid 19. The number of 14 participants joint the Data Stewardship course. The next year more participants signed up into the course: 25.  After piloting the first loop of courses, feedbacks from all the participants, teachers and organisers were collected. All the electronic materials and supporting information were transferred to one united DocEnhance platform. Also, guidelines for teachers were made in detail.

    Stipends & scholarships

    Types of doctoral stipends & scholarships:

    Health insurance coverage:

    Based on the amendment to the Public Health Insurance Act, as of January 1, 2018, the state also covers insurance premiums for individuals over 26 years of age who are enrolled for the first time in a doctoral study program offered by a higher education institution in the Czech Republic, within the standard duration of study, in the form of full-time attendance, provided they are not employees (with a net monthly salary exceeding 10,000 CZK) or self-employed individuals according to § 5 of the Public Health Insurance Act.     Basic doctoral stipend

    It is granted for one academic year at the amount determined by the rector. The stipend amount is related to the contribution that the ministry provides for doctoral stipend. This stipend is granted just to PhDs in Czech study programs.

     The rector's decree (current wording among the documents below on the page) establishes the basic doctoral stipend for PhD candidates within the standard duration of full-time doctoral study programs accredited at the University of Chemistry and Technology, Prague (UCT Praha), at a monthly rate of 7 700 CZK. Based on the number of fulfilled obligations, the stipend amount in higher years ranges from 5 200 CZK to 7 700 CZK.

    The Dean of faculty can award to full-time PhDs special purpose scholarship 2 900 CZK per month. PhD candidate has to fulfil the following conditions:

    • be a member of an IGA field-specific student scientific project 
    • annual evaluation criterion of at least 0.5 points (not for FET) or be a first-year PhD

    Doctoral stipend for pedagogical activities

    It is granted and its amount is determined by the dean (for programs implemented by the faculty) or the rector (for programs implemented by the University of Chemistry and Technology, Prague – UCT Prague). The condition for granting the stipend is the active involvement of the PhD candidate, within the standard duration of full-time doctoral study, in teaching students of bachelor's or master's study programs for at least 10 hrs/year. PhD candidate working at contractual institutions (i.e., outside the institutions of UCT Prague) must apply in writing for this stipend at the beginning of each academic year at the dean's office. This stipend is granted just to PhDs in Czech study programs. This application must include the approving opinion and signature of the supervisor from the contractual institution. PhD candidates from UCT institutions do not need to submit an application.

     The rector's decree (current wording among the documents below on the page) establishes the amount of the doctoral stipend for pedagogical activities at a monthly rate of 3 500 CZK.

    Stipends from Internal Grant Agency Projects

    Specific information, including deadlines, can be found on the relevant IGA website.

    Category A: Student Scientific Project ("scientific project" or "VIGA").

    → A1: The field-specific student scientific project is a scientific project of basic or applied research, in which a group of students in the full-time form of doctoral study (DSP) and their supervisors are involved. An academic staff member at UCT Prague applies for this type of scientific project for a group of PhD candidates (i.e., PhD candidate do not apply for this type of project) and their supervisors (or specialist supervisors or consultants) for a specific study program/field. The maximum amount of stipends for PhD candidates and rewards for their supervisors within the field-specific student scientific project depends on the results of the professional activities of PhD candidates for the academic year preceding the year of the grant competition announcement (the so-called annual evaluation). The decisive factor is the achieved value of the criterion (see point scoring in the e-doctorand system/year+1). Based on the point evaluation in the e-doctorand system, a minimum of 500 CZK and a maximum of 4,000 CZK per month can be obtained in addition to the basic stipend.

    → A2: Research Student Scientific Project is a project of basic or applied research aimed at deepening the creative and publishing activities of PhD candidate within programs/fields accredited at UCT Prague. It is a scientific project that is managed and coordinated by PhD candidates themselves in the full-time form, who gain valuable practical experience in preparing project proposals, solving them, and presenting the achieved results. PhD candidates in the full-time form of DSP programs/fields accredited at UCT Prague, who meet the conditions specified in Article 8, Paragraph 4, of the Grant Regulations of the University of Chemistry and Technology, Prague, can apply for this type of scientific project. Members of the research team may also include DSP and master's students in programs accredited at UCT Prague. The members of the research team are always academic staff members (supervisors, specialist supervisors, or consultants) of the involved students. The number of students - members of the research team must not be less than the number of academic staff members - members of the research team throughout the project.

     The limits of financial resources that can be allocated to a student scientific project are determined for each year in accordance with the Declaration of the Internal Grant Competition of UCT Prague (see documents at the end of the page).

     Note! Each faculty may have its own limits and regulations, which are published no later than the start date of application submissions. The PhD candidate must adhere to the faculty limits published in the application and on the IGA website, or on the faculty websites (FCHT, FTOP, FPBT, FCHI).

     The amount of planned stipend for the Research Student Scientific Project A2 is not determined based on point values from the annual evaluation. Internal Regulation No. 20.33/17 Principles of the Student Grant Competition to Support Specific University Research Projects at UCT Prague applies.

     Category B: Student Social Project ("social project" or "SIGA"): These projects focus on cultural, social, educational, presentation, and sports activities. Social projects are intended for students in bachelor's, master's, and doctoral study programs accredited at UCT Prague and its faculties. Internal employees of UCT Prague or external workers can contribute to the project through unpaid collaboration.

     Category C: Pedagogical Project of Students and Academic Staff ("pedagogical project" or "PIGA").

     C1: Innovative pedagogical projects are intended for PhD candidates in the full-time form of DSP. An innovative pedagogical project may include: innovation of subjects in existing study programs, innovation of fields in existing study programs, creation and innovation of multimedia study materials, and other study supports for PhD candidates and academic staff at UCT Prague, students, and teachers of secondary and primary schools, as well as the creation and innovation of continuing education courses.

     → C2: University-wide pedagogical project aims to acquire, strengthen, and develop practical pedagogical skills and experiences of PhD candidateS within programs accredited at UCT Prague. An academic staff member at UCT Prague applies for this type of pedagogical project for a group of PhD candidates.

     →The limits of financial resources that can be allocated to a pedagogical project of students and academic staff are determined for each year in accordance with the Declaration of the Internal Grant Competition of UCT Prague.

    → Internal Regulation No. 20.35/17 Principles of the Grant Competition to Support Pedagogical Projects of Students and Academic Staff at UCT Prague applies.

    Emil Votočka Doctoral Stipend for exceptional results in scientific and research activities supported by publication activities, demonstrated by the PhD candidate in the annual evaluation of professional activities for the previous academic year (the total achieved points related to the year of study are decisive). The rector decides on the awarding of the Emil Votočka Doctoral stipend and the determination of the maximum number of these stipends based on the recommendation of the Grant Council of UCT Prague. The stipend is paid monthly in installments derived from the allocated annual stipend amount (in previous years, 72,000 CZK/year, i.e., 6,000 CZK/month for the top twenty doctoral PhD candidates across the entire school).

    Other doctoral stipends (for more information, refer to the Stipend Regulations of UCT Prague):

    Accommodation, Special-Purpose, and Social Stipend: These can be obtained under the conditions specified in Article 6, 5, and 9 of the Stipend Regulations. Applications for these Stipend can be submitted during the enrollment process.

    Hlávka Foundation – Hlávka Dormitory (external source of funding): PhD candidates, young academic and research staff, and full-time PhD candidates of Prague universities who achieve excellent academic results, are financially needy, do not have housing in Prague, and are not entrepreneurs, can apply for subsidized accommodation at the Hlávka Dormitory (Jenštejnská 1966/1, Prague 2). The application for the stipend is submitted through the Hlávka Foundation and the rectorate of UCT by no later than April 30 of each year – more information on the foundation's website.

    Doctoral candidates can apply for certain grants and get involved in their resolution. Don't forget to inquire about the possibilities with your supervisor or at the Project Center.

    → GA ČR: Announced annually by the Grant Agency of the Czech Republic.

    TA ČR: Announced annually by the Technology Agency of the Czech Republic. Programs: Alfa, Delta, Epsilon, Zeta, Competence Centers.

    The Zeta program aims to support collaboration between the academic sphere and businesses by involving master's and PhD candidates from universities and young researchers under the age of 35. This age limit can be extended for a team member by the time spent on maternity or parental leave, long-term illness, or similar reasons.

    NAKI: This is a program of the Ministry of Culture – Program of Applied Research and Development of National and Cultural Identity (NAKI II). Only research institutions can apply.

    Full-time "Researcher" Employment

    It is advisable to inquire about possible work involvement during the entrance interview for DSP. A PhD candidate can obtain a partial or full-time "Researcher" employment (salary tariffs) during their studies.

    This type of employment is possible if the student's research group is working on some kind of grant during their studies (see GRANTS). It is advisable to ask before starting the doctorate whether the research group I am joining is the principal investigator of a grant and whether I can be involved in the work. If the PhD candidate is under 26 years old during their involvement in the grant, employment up to 0.15%, will cover a maximum of expenses associated with tax deduction. Grant employment can be provided along with the Researcher employment or, for example, as an Agreement on Work Performance.

    → If the workload (V4) is equal to or greater than 50% (i.e., 20 h/week), the employee is entitled to a meal allowance.

    → Additionally, a 3% contribution to pension insurance is made monthly from the employee's base for social security (for a minimum of 50% workload - 20 h/week). See the rules for providing a contribution from UCT Prague to employees' pension insurance with a state contribution.

    Secondary Economic Activity ("VéHáčko")

    A PhD candidate can become a solver of a task called basic supplementary activity, which is performed for remuneration and follows the educational, scientific, research, development, and other creative activities of UCT Prague, serving the more efficient use of human resources and property of UCT Prague. These tasks are performed by employees beyond their job duties and are rewarded. Agreements on work performed outside employment are concluded with students of UCT Prague or other individuals who do not have an employment relationship with UCT Prague. The head of the department to which they are directly subordinate allows employees to work on basic supplementary tasks.

     The responsible solver negotiates the work and services performed as basic supplementary activity with the customer based on a written or oral order. The responsible employees of the Department for the Record of Supplementary Activity, who need to electronically submit the order and specify the category of supplementary activity, will include the order in the school system. This way, the task is included in MIS - Main and Supplementary Activity, where settlement is also necessary later (performed by the solver – manual below or on the MIS- Main and Supplementary Activity website).

     For calculating the price for work in basic supplementary activity, the responsible solver proposes the inclusion of the provided performance into the following categories:

    1.       scientific-research work, service activities, analyses, etc., using the instrumental equipment of UCT Prague, polygraphic works,

    2.       consulting and advisory activities. Only works that do not require any equipment other than a computer as a text or spreadsheet processor can be included in category II.

    Academic senate of UCT Prague and of its faculties


    The membership in the academic senate and the right to take part in the elections are important tools of university democracy and an opportunity to actively or passively influence the operation of the school.  The UCT Prague academic senate and the academic senates of the individual faculties consist of one part formed by academics (elected for 3 years) and another part formed by student senators (bachelor, master and doctoral students; elected for 1-2 years, depending on the statutes of the individual faculties).

    What is the task of a STUDENT SENATOR? 

    An active student senator may have deep influence on the life of the school and arrange discussion with the school´s management on any topic that his/her electorate are concerned with.   So don´t be afraid to join the senators. In combination with the support of social and pedagogical grants, many things have changed already (this electronic guide  PhD guidepost,  may serve as an example).

    At any time, you can learn about the activity of the individual senators and their agenda at the school´s websites and read minutes from meetings, or you can contact your senators, whose list is provided there as well:

    Council of student senates and clubs (K3S), student clubs and life on the Dejvice campus

    UCT Prague offers its students and employees a wide area of cultural, sport and other creative activities within various clubs and groups.  The school has an active theatre group– Di(v)och, a choir – Chemchór, and clubs organizing cultural and social events – Uni Art, 4Students, etc. Active students can also bring to life new clubs and help to organize various school activities throughout the year.
    K3S is a platform bringing together active students from student clubs with academic senators. This collaboration facilitates students´ communication with the school´s management and enables to carry out student projects at the school in general.

    Socially and culturally inclined students should follow the events of the Dejvice campus – the area connecting the universities and institutions Czech Technical University in Prague, UCT Prague, Institute of Organic Chemistry and Biochemistry of the Czech Academy of Science, Charles University, and National Technical Library in cooperation with the local authorities of Prague 6..

    Within other workplaces and projects, UCT Prague provides support and wide advisory services, i.e. in the form of mentoring programmes, academy of personal development competencies, or assistance with placement on the job market.     In case of any practical inquiries regarding the functioning of the school or problems with school administration, don´t hesitate to ask for help your senior and more experienced fellow students – voluntary tutors.     Student Chamber of the Council of Higher Education Institutions

    At national level, active students who want to help to transform the higher education system in general may become involved in the activities of the Student Chamber of Higher Education Institutions. The Chamber represents all students of higher education institutions in the Czech Republic and promotes their interests at national and international levels.  Its aim is cooperation between students and teachers, dialogue with the government of the Czech Republic and the bodies of public authorities, and development of academic self-governance.     Another association trying to improve the situation of PhD students in the Czech Republic is the Czech Association of Doctoral Students. Visit the website or get more information about their public statements and events on their Facebook profile.

    Thanks to the endeavour and activity of PhD students in the Chamber and in the Association, who frequently comment on the situation of PhD students in the Czech Republic, take part in political meetings, discuss and protest, in the year 2016 there was adopted, for example, an amendment of the Act on social insurance provided by the government. As a result of that amendment, students of full-time form of doctoral study programmes will be entitled to health insurance paid by the government regardless of the student´s age. Starting from 1.1.2018 the category of the so-called “persons covered by state insurance” includes also students of full-time form of doctoral study programmes older than 26 years of age who study within the standard term of study and have no income from employment or self-employment (see the press release here).

    Health protection and safety at work (BOZP)

    Some useful information regarding safety at work including all directives, decrees and regulations can be found on a separate web of the Intranet. The web also provides the option to enrol in training in electro (elektro), first aid (první pomoc), health protection and safety at work (BOZP) and fire safety (PO), and to download all basic documents. In case of a work accident, it is necessary to report it and fill in the form. 

    Central laboratories of UCT Prague

    Central laboratories provide support to research and development and pedagogical activities of UCT Prague. Currently, the Central laboratories comprise nine workplaces equipped for analyses of various types of substances and materials.  The information on individual laboratories, equipment, contacts and forms for submitting a  request for analysis can be found here.

    UCT Prague Childcare Centre (Zkumavka)

    Zkumavka is focused both on short-term and "all-day" babysitting. Its mission is to help the parents in combining professional or student life with family. Zkumavka does not replace daycare (Zkumavka does not guarantee a place for a child every day) but it is an alternative due to its flexibility for parents, who gradually return to the UCT Prague after their parental leave and prefer to have their children a few days a week close to themselves. Zkumavka is there for children from 2 years old until the start of compulsory education. There is a condition for registering a child to Zkumavka: the parent or the legal representative must be employed or studying at UCT Prague.     Menus

    The menus of student canteens of the Czech Technical University, the canteens of UCT and the restaurants on the campus and its surroundings can be found on the webA student without a work contract with UCT has the right to use a student discount in the student canteens and the Pizzeria la fontanela. The discount can be used only once a day. You can monitor the balance of your account and the overview of the use of funds in all contracted eateries in the application Strávník.

    Doctors

    The General Practitioner department provides medical services to registered patients (registration is possible for all students and employees of UCT Prague) and work-health services for employees (regular checkups). In emergencies, the doctor´s services can be used even without registration. Search for more information including the working hours, doctors and phone numbers here.

    Night operation

    In case your experiment runs for long-term or overnight, the device on which the experiment is run can be added to the list of devices running overnight. The device described by you can be checked regularly (in night hours, at weekends) by the receptionist, who will inform you by using the stated contact about any exceptions.

    Purchase of material

    For the purchase of chemicals, office stationary, technical gasses, chemical glassware, laboratory tools, etc. it is appropriate to use the internal ordering system (Objednávky), where you will choose from the catalogue and order all the required items from the UCT warehouse

    After submitting the order and its approval by the person responsible for inventory of the department you will be informed by e-mail that the order is ready; the internal warehouse dispatches ready orders every day from 10 to 12 a.m. The central warehouse is located the underground of building A in room AS (see the map) and you can get there either by the staircase from Buf.an or through the second courtyard.     Computer network

    Login, e-mail address assignment, connection to wi-fi, remote access, school licences and programmes are to be dealt with in compliance with information from the Computer Centre of UCT Prague.

    International student - personal identification & Czech birth number

    It is possible to be accepted to study even if a foreign applicant has not been assigned a Czech birth number (personal identifier derived from the date of birth all Czech citizens have since birth). The student is then assigned a substitute identification number in Study Information System (SIS), which is (also) derived from the date of birth. However, it is common for a doctoral student who is a citizen of a third country to be assigned a Czech birth number later, as part of the procedure of issuing or extending a long-term residence permit in the Czech Republic and the issuance of a biometric ID card by the Ministry of the Interior of the Czech Republic (OAMP). Czech Birth number is usually indicated on the biometric card, or it is possible to request its issuance. Citizens of the EU/EEA and Switzerland who have free entry and residence in the Czech Republic have also the opportunity to apply for the assigment of a Czech birth number (information in Czech at Ministry of the interior). This Czech birth number is also used for identification of persons in other systems of the state administration of the Czech Republic and therefore it is highly recommended to have it to ease the living experience in the Czech Republic.

    If a Czech birth number is assigned, it is necessary to contact the dean's office immediately to update this identifier in the SIS (Study Information System of UCT Prague).

    This is especially important in case the doctoral student wants enter into an employment relationship with UCT Prague (Work contract, DPČ, DPP). At such a moment, it is advisable to check in advance both at the Dean's office (SIS) and at the Personnel department that they both use the same identifier.

    In case the information in SIS is not complete (Czech birth number is not registered), there is a risk that independent duplicate user account records might be created, causing various problems. If this already happened, it is necessary to resolve it with the Computer center (helpdesk@vscht.cz) immediately upon detection of such situation and to inform the Personnel department and the Dean's office as well, so they can start using the same identifier.
